Primary objective
Provide a range of high quality administrative and hospitality support functions in a busy and demanding environment necessary for the
effective operation of the Office of the Official Secretary to the Administrator including acting as the first point of contact for all visitors
to the Administrator’s Offices and when required at Government House.
Context statement
The Office of the Official Secretary ensures the Administrator is provided with all necessary supports to exercise their statutory and
constitutional responsibilities and fulfil their official, ceremonial and broad civic duties of office. The role provides support to the Office.
Key duties and responsibilities
1. Undertake a range of administrative support activities including greeting guests to the Administrator’s Offices, answering the main
reception line responding to general inquires, and provide corporate support including procurement, purchasing and payments in-line
with Government policies.
2. Oversee the maintenance of office equipment, coordinating ICT maintenance including AV and conference room facilities, and manage
general office stores, including official stationery production.
3. Provide an efficient records management service for the Office of the Official Secretary, digitise, archive and store documents in-line
with Government policies.
4. Provide hospitality services to the Administrator, Official Secretary and guests at formal and informal meetings and assist at official
functions as required.
5. Arrange internal meetings and take minutes as required to support the leadership team.
6. Assist with projects, including assisting the team during peak delivery periods as directed.
Selection criteria
Essential
1. Demonstrated experience in first line contact and ability to handle sensitive or challenging information and maintain confidentiality.
2. Sound organisational skills and high-level administrative experience including a proven ability to concurrently co-ordinate a range of
tasks, whilst maintaining a high level of customer service.
3. Demonstrated experience in administrative procedures and systems including high level competency in Microsoft Word and in
database, mainframe, financial management, corporate reporting and records management systems (such as TRM, EIMS, Expense8,
TRIPS or similar).
4. Proven ability to provide quality customer services through managing periods of demand and with constantly changing priorities and
tight deadlines with demonstrated high level of attention to detail.
5. Demonstrated appropriate interpersonal communication (written and verbal) and organisation skills when interacting with a diverse
range of people at all levels with the ability to interpret requests, problems and complaints.
6. Experience in providing hospitality support and dealing appropriately where high-level protocol and confidentiality must be observed,
including handling highly confidential documents.
7. Availability to work outside core business and extended hours to support events and meetings as required.
Desirable
1. Knowledge and appreciation of the role of the Administrator of the Northern Territory and related protocol procedures.
2. A sound understanding of Government, or similar, finance and procurement procedures
