Program Administrator (Support at Home & NDIS)

About the Organisation
The Fig Trees is a growing registered provider of NDIS and Support at Home services. Dedicated to person-centred care, we empower clients to achieve their individual goals and live independently. To support our ongoing expansion, we are seeking a proactive, highly organised Program Admin to assist with day-to-day operations. This position suits a motivated professional who excels at problem-solving, values structure, and wants to contribute meaningfully to client outcomes.
The Role
Working alongside our Care Coordinator and Program Manager, you will maintain high administrative standards and deliver quality customer service. You will help ensure smooth operations across our Support at Home and NDIS programs by handling intake, scheduling, workforce support, and overall program administration.
Key Responsibilities
- Operational & Workforce Support: Coordinate staff rostering, review worker timesheets, and handle recruitment administration and onboarding for new staff and Associated Providers.
- Client & Service Management: Oversee client intake, onboarding, and service setup; draft and maintain service agreements and client documentation; track client budgets and service utilisation.
- Administration & Compliance: Process claims, maintain precise records in client management systems, support audit processes, and assist with reporting and continuous improvement efforts.
- Stakeholder Engagement & After-Hours: Provide exceptional customer service to clients, families, and key stakeholders, and take part in the rotating after-hours on-call roster.
About You
You take pride in maintaining clear systems, paying close attention to detail, and managing competing priorities while staying calm under pressure.
- Excellent communication, time management, and customer service skills.
- Strong initiative, adaptability, and a proactive approach to problem-solving.
- Proficient with online systems and Microsoft Office software.
- A positive, receptive attitude toward ongoing learning.
Requirements
- Essential: Relevant experience in rostering, administration, or program coordination; full Australian working rights; current Australian Driver’s Licence.
- Screenings: National Police Check, Working with Children Check, and NDIS Worker Screening Check (or willingness to obtain each).
- Desirable: Experience using client management software, sector experience (disability, health, or community services), and a Certificate III/IV in Business Administration, Healthcare, Community Services, or a related field.
