About the role
The role the Executive Assistant is primarily responsible for providing comprehensive support to Senior Management. In this role you will take ownership of all administrative tasks and any other duties to assist leadership with managing their client practices and firm management aspects. The role will also provide project support to one of our largest Government client teams.
Key responsibilities
The responsibilities for the Executive Assistant are as follows:
- Provide high level administrative support to the managing director, including calendar and inbox management
- Schedule internal and external meetings, including preparation of agendas, meeting minutes and arranging catering/visitor arrangements
- Assisting managing director with preparing papers, presentations and reports
- Prepare bills and complete expense reimbursements for the managing director (as required)
- Organise internal and external events, including client functions, firm-wide initiatives and team events.
- Organise and manage travel arrangements for managing director and other staff if required
- Project coordination support for one of our largest client teams, including:
- Internal and external meeting coordination – attending internal meetings, creating meeting agendas and minutes, liaising with client to book external meetings
- Managing team resourcing and setting up accounts, projects and client contacts in the system
- Assist with preparing reports, letters and documentation for relevant projects
- Managing client billing process, in collaboration with MD and other principals on team
- General office administration as and when needed.
- Assist business operations teams and committees with additional projects and tasks as needed.
Qualifications, Skills and Experience
- Completion of relevant studies in business administration (desired).
- Minimum of 5 years’ experience in an EA / PA / secretarial or related administrative role
- Experience in a professional services environment advantageous
- Intermediate to advanced Microsoft office skills, including Microsoft Word, PowerPoint and Excel.
- Demonstrated ability to plan, organise and prioritise work for self and team in an environment with multiple and conflicting demands
- Ability to work with Salesforce and/or Certinia (or equivalent CRM/PSA system) advantageous
- Proven experience in drafting and formatting complex written documents.
- Strong attention to detail
- Ability to work under pressure with conflicting priorities and meet tight deadlines
- Exceptional communication and interpersonal skills, written and verbal.
- Ability to exercise initiative and work both independently and co-operatively as required. A proactive and flexible approach to work.
- Ability to maintain confidentiality and handle sensitive matters diplomatically and discreetly.
Working Arrangements
Hybrid work (3 days in the office) based in The Rocks, Sydney, NSW.
Full working rights in Australia required.
