We are seeking a highly organised and technically minded Project Coordinator to support the successful delivery of multiple infrastructure, construction, engineering, and technical supply projects. This role is ideal for someone who enjoys working at the intersection of project management, logistics, procurement, and client coordination.
As Project Coordinator, you will play a critical role in ensuring project materials, products, and services are delivered accurately, efficiently, and on schedule. You will work closely with clients, suppliers, transport providers, and internal technical teams to coordinate project activities from quotation through to delivery and completion.
Key Responsibilities
- Establish and monitor project registers, delivery milestones and critical deadlines
- Liaise with freight providers, warehouse providers, suppliers and site personnel to manage delivery schedules
- Coordinate technical and commercial communications between technical engineering support, sales, suppliers and the customer service team
- Manage incoming and outgoing RFIs and ensure responses are documented, controlled and issued to the relevant stakeholders
- Coordinate the procurement, transportation and delivery of project materials
- Liaise with freight providers, warehouses, suppliers and site personnel to manage delivery schedules
- Reconcile ordered quantities vs delivered quantities and manage shortfalls, damages, and returns
- Resolve logistical and operational issues affecting project delivery
- Prepare quotations, supply proposals, estimates and project documentation
- Process purchase orders, order confirmation and invoicing
- Provide regular updates on project status, delivery schedules and supply requirements
- Assist in documenting scope clarifications, exclusions and assumptions for geosynthetic supply packages
- Track variations / change requests (design changes, quantity changes, site condition changes, delivery date changes) and support preparation of variation quotations
- Maintain contract/commercial files including quotes, accepted proposals, purchase orders, delivery terms, and payment milestones
- Confirm BOQ (as provided by drawings/specs) and coordinate internal QA checks
- Coordinate delivery schedules with site personnel considering site constraints (laydown area, cranage/forklift availability, access, weather windows for coastal/hydraulic works)
- Verify delivery documentation (dockets, batch/roll IDs where relevant) and ensure traceability is maintained for QA purposes.
- Assist with collecting and filing project compliance evidence for QA and claims
- Archive project documentation for future client use, warranty/support reference
- Track site/project requirements for inductions, access, and documentation so deliveries/support activities comply with site rules.
- Coordinate availability and distribution of installation guidance and ensure site teams have the latest approved documents before works commence.
What we're looking for
- Previous demonstrated experience (minimum one year) in project coordination, project administration, logistics coordination, supply chain, or technical operations
- Minimum Diploma in project management or other equivalent field
- Confident, energetic and self-motivated individual
- Excellent customer communication skills
- Strong attention to detail
- Proficiency with Microsoft Office suite
- Strong organisational skills and dedication to follow through
- Confident dealing with Customers and Vendors

- Facilitate communication between sales, engineering, operations, procurement, and finance teams
- Experience with SAP and Salesforce (highly regarded)
