About the project:
John Holland has been selected as delivery partner with Ausgrid for Energy Co’s Hunter-Central Coast Renewable Energy Zone project (HCC REZ).
The project involves upgrading the existing electricity network and construction of two new substations to allow connections to a range of renewable energy sources and will be a significant enabler for the Hunter region’s clean energy future. The delivery solution minimises the impact on the community and environment while delivering the capacity to transfer more than 1 GW of renewable energy.
John Holland has been involved in the energy sector since the 1960s when we helped deliver the Snowy Mountains Scheme, and we’re excited to re-enter in the Energy market by being part of another iconic project.
About the role:
The Hunter Rez project team is currently looking for an experienced Site Administrator to join the team, based on site in Muswellbrook and LAFHA (Living Away From Home Allowance) will be provided.
Responsibilities of the role include:
Check invoices received in the accounts email are compliant.
Organise Purchase Requisitions for Engineers and Project Managers.
Liaise with Project Managers for approval of Purchase Orders and Invoices.
Process invoices and work orders promptly to meet deadlines.
Organise documentation and set up new suppliers/vendors in the JH system (VOL and PPW).
Resolve invoice and credit queries with existing suppliers and action any statement queries.
Assist the Office Manager with ordering PPE, catering, and arranging travel
Maintain commercial registers (PPE, Travel, IPP) and develop records management systems to ensure information is accurate and secure.
Ad Hoc administrative tasks to support the project team (Document Control/Health & Safety).
Liaise with the contracts team and subcontractors regarding invoices, bank guarantees, and insurances, ensuring all are valid and maintained in PPW/SharePoint.
Provide accurate information and customer service to clients, vendors, subcontractors, and stakeholders, while supporting team members and upholding confidentiality in all duties.
To be successful in this key role, you must have:
Tertiary qualification or equivalent hands-on experience in administration.
3–5 years’ proven experience in administration or accounts administration positions.
Advanced proficiency in the Microsoft Office Suite.
Solid understanding of basic accounting, data handling, and administrative management processes.
Familiarity with technology and systems relevant to records management.
Strong grasp of core administrative procedures and practices.
