Procurement Officer — Job Description
Role summary
Manages sourcing, purchasing, and supplier relationships to secure goods and services at optimal cost, quality, and delivery while ensuring compliance with procurement policies.
Key responsibilities
- Execute procurement activities: create purchase requisitions, obtain quotes, issue purchase orders, and follow through to delivery.
- Source and evaluate suppliers; conduct RFQs/RFPs, compare bids, negotiate pricing, terms, and SLAs.
- Maintain supplier relationships and performance metrics (quality, lead time, on‑time delivery); conduct supplier audits as needed.
- Ensure procurement compliance with policies, contract terms, regulatory requirements, and internal controls.
- Manage vendor onboarding, contracts, and renewals; escalate contracting or performance issues to legal/procurement managers.
- Collaborate with internal stakeholders (operations, finance, inventory, engineering) to define requirements, lead times, and forecasted demand.
- Monitor inventory levels and coordinate with inventory/planning teams to prevent stockouts and reduce carrying costs.
- Process invoices, resolve discrepancies with AP, and ensure accurate PO-to-invoice matching.
- Track procurement KPIs (cost savings, lead time, PO cycle time, supplier defect rate) and produce regular reports.
- Implement cost‑reduction initiatives, supplier consolidation, and process improvements; support category management.
- Maintain procurement records, supplier database, and documentation for audits.
- Support emergency or expedited procurement and manage vendor performance improvement plans.
Qualifications
- Education: BS in Business, Supply Chain, Procurement, Finance, or related field; professional certifications (CIPS, CPM, CPSM) preferred.
- Experience: 2–5+ years in procurement, purchasing, or sourcing; senior roles require more experience.
- Technical skills: Proficient with ERP procurement modules (SAP, Oracle, NetSuite) and MS Excel; e‑procurement and contract management tools a plus.
- Negotiation & commercial skills: Strong negotiation, cost analysis, and supplier evaluation capabilities.
- Knowledge: Familiarity with procurement best practices, supplier markets, incoterms, and logistics basics.
- Soft skills: Strong communication, stakeholder management, analytical thinking, and attention to detail.
- Compliance: Understanding of contract law basics and regulatory requirements relevant to industry.
Working conditions
- Office or hybrid role; regular interaction with suppliers and cross‑functional teams; occasional travel to suppliers or sites for audits/meetings.
- May involve periodic high‑workload periods for sourcing projects or contract renewals.
Performance metrics
- Cost savings and procurement ROI.
- Purchase order cycle time and on‑time delivery rate.
- Supplier defect rate and supplier performance improvement.
- Contract compliance rate and invoice/payment accuracy.
- Inventory turnover impact and reduction in expedite requests.
Pay: $44.15 – $68.25 per hour
