Part-Time | In Office | Ormeau | Early Starts
We are looking for an organised, proactive and resourceful Executive / Personal Assistant to work closely with the CEO and support the day-to-day operations of several family-owned businesses.
This is not your standard admin role.
We're looking for someone who enjoys creating order from chaos, thinks ahead and gets genuine satisfaction from taking things off someone else's plate.
You don't need to know everything. In fact, we don't expect you to.
But if your natural response when you don't know something is "leave it with me, I'll work it out", we should probably talk.
About the Role
This is a permanent part-time, in-office position based in Ormeau, generally commencing around 7:00am.
We anticipate approximately 4–5 hours per day, Monday to Friday, with potential for the role and hours to grow over time.
You'll work closely with the CEO while also supporting directors and managers across several businesses.
Your day might include:
- Managing and cross-checking calendars, appointments and reminders
- Monitoring emails and identifying what needs action
- Following up outstanding tasks, deadlines and correspondence
- Recruitment coordination and interview scheduling
- Preparing documents, correspondence and basic reports
- Keeping files, paperwork and systems organised
- Researching problems and finding solutions
- Helping coordinate projects and keeping track of next steps
- Basic social media and website support
- General business and personal administration
- Noticing the things that haven't been specifically assigned to you — and taking ownership of them
Some days will be structured. Other days priorities will change quickly.
The goal is that, as you learn the businesses and the people within them, you progressively need less direction, not more.
Who We're Looking For
We're much more interested in how you think and work than having the perfect résumé.
Previous EA, PA or administration experience is certainly valued, but it isn't essential for the right person.
You may be an experienced EA looking for your next long-term role, returning to the workforce, changing careers, or even at the beginning of your working life.
What matters is that you are:
- Naturally organised and detail-oriented
- Proactive and comfortable taking initiative
- Resourceful when you don't know something
- Able to research, problem-solve and have a go before asking for help
- Reliable and accountable
- Comfortable working independently
- Able to prioritise when several things need attention
- Confident enough to ask questions when they're genuinely needed
- Comfortable giving and receiving direct, respectful feedback
- Able to keep track of information and create systems you can refer back to
- Professional and trustworthy with confidential information
- Comfortable working closely with a CEO in a professional home-office environment
We don't expect perfection, and we certainly don't expect you to remember everything you're shown.
We do expect you to find ways to capture information, refer back to it and continue building your knowledge rather than relying on someone else to hold it for you.
A Little Different From a Traditional Office
Our main office is a professionally run home-based office, and this role works very closely alongside the CEO.
Ideally, you'll start before the CEO and use that quieter time to check what's happening, identify priorities and get ahead of the day.
This is also genuinely an EA/PA role. There will be some crossover between business and personal organisation, so we're looking for someone comfortable becoming a trusted extension of the person they support while maintaining appropriate professionalism and confidentiality.
You won't be expected to sit quietly waiting for your next task.
Once you're familiar with the businesses, we'd much rather hear:
"I noticed this needed doing, so I've handled it."
Experience & Development
We're deliberately keeping the door open when it comes to experience.
If you have strong EA/PA or administration experience, we'd love to hear from you.
If you have very little formal experience but you're switched-on, confident, organised, willing to learn and naturally take initiative, we'd still love to hear from you.
For the right person, we're open to supporting relevant training, qualifications and professional development as the role grows.
There may also be opportunities for additional hours through other areas of our businesses for someone interested in expanding their role, but this is not a requirement.
Position Details
- Permanent part-time
- Approximately 4–5 hours per day, Monday to Friday
- Early starts, generally around 7:00am
- In-office position in Ormeau
- Potential for increased hours and responsibilities over time
- Long-term opportunity for the right person
- Remuneration is flexible and will depend on the successful applicant’s experience, qualifications and demonstrated capability. We prefer to commence at a reasonable starting rate and review this as the employee demonstrates their ability to independently meet and take ownership of the role. Pay increases are not necessarily tied to the end of probation and, where capability is demonstrated quickly, may be reviewed within weeks rather than months.
Interested?
Because résumés only tell us a small part of who someone is, we'd love you to answer the following five questions when applying:
1. It's 7am and you've arrived before the CEO. You know the businesses well and have access to the calendars, inboxes, systems and current projects. How would you use that first hour?
2. You come across something you don't know how to do and the CEO is busy. What would you normally do before asking for help?
3. You have five things competing for your attention: an overflowing inbox, paperwork that needs organising, an unfinished project, a social media post that's overdue and something the CEO asked you to do yesterday. How would you decide what to work on first?
4. What does being a great Executive/Personal Assistant mean to you?
5. Finally, tell us something about you that we won't find on your résumé. What does your life outside work look like, what do you enjoy, or what should we know about you?
Short, genuine answers are absolutely fine. We're interested in how you think, not your ability to write an essay.
Please send your résumé and answers to [email protected] to be considered for this role.
Pay: $33.00 – $45.00 per hour
