About Manta Swim School
Manta Swim School is a growing mobile swim school servicing Noosa and the Sunshine Coast. We provide personalised swimming lessons for babies, toddlers, children and adults, with a strong focus on quality teaching, water confidence and a great experience for families.
We're looking for a highly organised, proactive and reliable Admin & Operations Assistant to support the day-to-day running of the business as we head into the new swim season.
About the role
This is a practical, hands-on admin role for someone who enjoys keeping things organised, communicating with people and taking initiative to get things done. You'll become an important point of contact for Manta families and instructors, helping make sure the behind-the-scenes side of the swim school runs smoothly.
This is a casual, seasonal position, with the majority of work taking place between October and April. Hours will vary from week to week depending on the needs of the business.
During quieter weeks, there may only be 1–2 hours of straightforward administration, such as monitoring emails, responding to enquiries or communicating with instructors. During busier periods, particularly when new families are onboarding or lesson schedules are changing, the role may require up to around 8 hours a week.
The workload is expected to increase as we move into the October–April swim season, with some lighter administrative activity continuing through the winter months. Hours are not guaranteed and will be offered according to business requirements.
What you'll be doing
- Parent and guardian communication - responding to routine questions, updates and requests.
- Instructor management - coordinating with instructors, checking availability and helping resolve day-to-day issues.
- Bookings and scheduling - managing lesson changes, swaps, cancellations and other booking administration.
- Payments and invoicing - preparing and sending invoices, following up outstanding payments and keeping records up to date.
- Enquiries - responding to new family enquiries and helping prospective customers through the enrolment process.
- Marketing and social media support - providing occasional administrative support with content scheduling and social media tasks when required.
- Website and tech admin - making straightforward WordPress updates and checking that enrolment forms and website information are working correctly.
- School program admin - assisting with the administration and communication involved in Manta's school swimming programs.
- Holiday programs - helping coordinate enrolments, communication, scheduling and administration.
- Equipment and supplies - ordering and keeping track of swim school equipment and other supplies.

You don't need to know all of these systems already, but confidence learning new software is important.

What we're looking for
- Highly organised, reliable and able to manage multiple small tasks without losing track of things.
- Proactive - you notice what needs doing and get on with it rather than waiting for a list.
- Warm and confident communicating with parents, guardians and instructors.
- Strong attention to detail, particularly with bookings, schedules and payments.
- Comfortable working independently from home.
- Confident using computers and learning new systems and software.
- Able to be responsive during agreed Australian business hours when something urgent comes up.
- Professional, approachable and genuinely enjoys helping people.
- This is a remote role, with the successful applicant working from home.
Additional experience that would be an advantage:
- Experience working in a swim school, aquatic centre or sporting organisation.
- A personal connection to swimming - as a swimmer, instructor, coach or swim parent.
- Experience working with children and families.
- Experience in administration, customer service, scheduling or bookings.
- Experience with Canva, social media or WordPress.
- Experience working in a small business where you have to be flexible and figure things out.

Pay: $32.00 – $35.00 per hour
