As a Fleet Administration Assistant, you will support the day-to-day operations of the fleet team by coordinating fleet data, systems, processes, and documentation. You will assist with fleet maintenance activities, work order management, compliance requirements, and stakeholder communication to help ensure the efficient operation of the fleet.
Key Responsibilities
- Maintain fleet data, systems, and administrative records.
- Process fleet repair and maintenance work orders through internal systems.
- Raise purchase orders in accordance with company policies and compliance requirements.
- Assist with the scheduling and coordination of fleet repairs, servicing, and maintenance.
- Liaise with drivers, suppliers, service providers, and internal stakeholders to support fleet operations.
- Enter and maintain accurate meter readings and vehicle information.
- Raise, monitor, and close work orders.
- Provide general administrative support to the fleet team.
- Ensure all records are accurate, up to date, and compliant with company procedures.
Skills & Experience
To be successful in this role, you’ll be a proactive administrator who can manage multiple priorities while maintaining a high level of accuracy.
You will ideally have:
- Previous administration experience within fleet, transport, logistics, mining, or a similar operational environment.
- Strong communication and customer service skills, with the ability to build positive relationships at all levels.
- Experience coordinating multiple tasks and stakeholders in a busy workplace.
- A high level of attention to detail and excellent organisational skills.
- Knowledge of road transport operations and fleet maintenance processes.
- An understanding of Chain of Responsibility (CoR) legislation.
- Intermediate to advanced skills in Microsoft Office, particularly Excel, Word, and Outlook.
- Experience using fleet management or business systems.
- The ability to quickly learn new systems and adapt to changing priorities.
Highly Regarded
- Experience with JDE, Preceda and/or UKG systems.
- Previous exposure to fleet maintenance, heavy vehicle, or transport operations.
