THE ROLE
The Administration Officer will be responsible for the administration of the Case Management System (CMS) portal across the Statewide Child Protection Litigation Office. This will include supporting staff access and management of the portal and developing key stakeholder relationships as it relates to the engagement of the CMS portal. The Administration Officer will provide training to new starters on CMS and work alongside the Business Operations Team in supporting the day-to-day administration of the Child Protection Litigation Office. Attention to detail and teamwork underpin success in this role as well as a demonstrated ability to communicate sensitively and effectively.
The CMS portal was developed by Court Services Victoria (CSV) to improve technology systems and strengthen information sharing between key departmental divisions, the Magistrates' Court of Victoria and the Children's Court of Victoria. The portal enables authorised staff to electronically lodge, view and manage all court applications and documents.
In accordance with clause 19 of the VPS Agreement (where applicable), you may be asked to join a different team where business operations require this.
ACCOUNTABILITIES INCLUDE
Under general direction, assist with various office processes relating to CPLO's engagement with the CMS portal, including:
- onboarding and offboarding CPLO staff
- administrative management of new court applications
- downloading and uploading documents
- providing training to new starters on CMS portal
- maintaining CPLO's electronic legal files on the LEX file management system
- supporting CPLO's efficient and effective interface with the CMS portal
- Liaise with CPLO staff, child protection practitioners, CSV and other external stakeholders as required, to support engagement with the CMS portal and maintenance of accurate CPLO and Court records.
- Operate as an effective member of the Business Operations team and deliver quality, timely and effective customer service to CPLO staff, Child Protection, CSV and other stakeholders.
Liaise with CPLO staff, child protection practitioners, CSV and other external stakeholders as required, to support engagement with the CMS portal and maintenance of accurate CPLO and Court records.
Operate as an effective member of the Business Operations team and deliver quality, timely and effective customer service to CPLO staff, Child Protection, CSV and other stakeholders.
