Description:
The Role
This is a part-time position of approximately 25–30 hours per week, ideally worked across Monday to Friday during school hours. There is some flexibility in the working arrangement for the right candidate.
As a Pre-Construction Administration Support team member, you’ll play an important role in supporting the coordination of projects and assisting the sales team by being first point of contact for display home visits and phone calls.
Working closely with our Pre-Construction and Operations teams, you’ll assist in ensuring project documentation is accurate and completed in a timely manner for the factory and handovers with clients.
This is a detail-focused, administrative role suited to someone who enjoys organisation, working across multiple tasks, and supporting a team to keep projects moving.
What You’ll Be Doing
Be a welcoming first point of contact for clients and visitors, including answering incoming phone calls and assisting clients visiting our display homes.
Provide day-to-day administrative support across the office and assist the Pre-Construction team as required.
Coordinate office supplies, stationery, kitchen and grocery orders, including restocking and helping to maintain organised and presentable shared office areas.
Assist with the organisation of company functions, meetings and catering as required.
Support the Sales team with general administration and client enquiries.
Support the colour selection process and ensure samples and products within the colour room are current, organised and well presented.
Assist with compiling and maintaining project documentation, including plan books, building manuals, certificates and client specifications.
Enter and maintain information in Onsite Companion, Smartsheet and client specifications as required.
Liaise with internal teams and assist with client communications where required.
Support the preparation and updating of documentation for factory release, including plan books and changes to project scope.
Assist with preparing client handover packs, including manuals and certifications.
Take regular project progress and completion photos and videos for clients and company records.
Complete other administrative and documentation tasks as directed by the Pre-Construction Manager.
