What this opportunity involves:
As the Lease Administration & Portfolio Management Coordinator at JLL, you will support the delivery of comprehensive lease administration and portfolio management services to our client Viva Energy's national property portfolio. In this role, you'll assist with the management of a diverse mix of owned properties and leased premises, promoting and implementing best practice across all sites. You'll work collaboratively across the broader Account and Work Dynamics business in the pursuit and implementation of best practice and key contract deliverables. We believe the most effective teams are built when everyone is empowered to thrive, and you'll experience this as you build strong working relationships with key stakeholders such as landlords and client site contacts. Your ability to balance multiple priorities while maintaining a keen eye for detail will be essential as you research complex issues, participate in dispute resolution, and deliver operational excellence. An overview of the role:
Research problems and provide support for landlord and tenant inquiries, participating in dispute resolution and responding to remittance and invoice queries
Manage landlord contact information, update payment routing details, and maintain accurate records across the national portfolio
Provide insurance certificate fulfillment information to the client's Risk Management department, supporting creation and distribution of certificates to landlords as requested
Request copies of subtenant insurance certificates where the client serves as landlord or sub-landlord
Deliver operational, client and customer agency service excellence across the client portfolio, supporting the management of owned property assets and leased premises
Build and maintain strong working relationships with key stakeholders including landlords, tenants, and client site contacts
Provide tenant support and communications, ensuring responsive service delivery and proactive issue resolution
Handle a variety of complex issues concurrently within tight operational deadlines, maintaining focus on meeting performance targets

Minimum 1 year of experience in property transactions and associated services with a demonstrated track record
Excellent client service and communication skills with strong interpersonal abilities
Ability to deal with a variety of complex issues concurrently within tight operational deadlines
Goal oriented and focused on meeting performance targets while working well in a team environment
Proactive with a keen eye for detail and the ability to balance multiple priorities effectively
Can-do attitude with proven ability to build and maintain relationships and liaise effectively with all stakeholders
Proficient in industry-standard software and tools for financial analysis and reporting
Tertiary qualification in Property, Real Estate or equivalent (preferred)
