About the Role
Beach Byron Bay is looking for a professional, organised and detail-oriented
Events Assistant to join our Head Office team. It is a casual role with felixible arrangments.
Reporting to the Events Manager, you will support the planning and coordination of events from the initial guest enquiry through to the successful completion of each event. You will be a key point of contact for guests and will work closely with our Events Manager, venue management, restaurant teams, kitchen, reservations and other stakeholders to ensure every event is delivered to the highest standard.
This is a fast-paced role suited to someone who enjoys working with people, has excellent communication and administration skills, and takes pride in delivering an exceptional guest experience.
Previous experience in events, hospitality, administration or a similar role is preferred. However, on-the-job training will be provided for the right candidate.
Key Responsibilities
Guest Service & Event Coordination
- Respond to event enquiries via phone and email in a timely and professional manner.
- Provide guests with accurate information regarding availability, event details, menus and pricing.
- Manage guest requests and provide recommendations to help maximise the guest experience.
- Place and follow up on tentative bookings.
- Maintain clear and professional communication with guests throughout the event planning process.
- Follow up with guests after events and communicate feedback to the Events Manager and management team.
Event Administration
- Process event booking confirmations and enter bookings into SevenRooms.
- Process credit card deposits and issue booking confirmations, invoices and payment receipts.
- Assist the Events Manager with guest communication and event planning.
- Prepare and update event floor plans and menus for printing.
- Prepare detailed Event Orders (EOs) containing all relevant event information.
- Maintain accurate event calendars and booking information.
- Keep Event Orders updated with changes to guest numbers, menus, beverages and timings.
Venue Coordination
- Liaise with kitchen and front-of-house teams regarding special requests and event changes.
- Provide updated Event Orders to Chefs, Restaurant Managers and Sommeliers as required.
- Ensure Event Orders are linked to bookings in SevenRooms and accessible to venue teams.
- Communicate daily updates and changes to events to ensure venue teams always have the most current information.
Administration
- Assist with answering telephone calls and managing general enquiries.
- Maintain accurate event records and documentation.
- Save and file event documents in the appropriate SharePoint folders.
- Ensure relevant email correspondence is appropriately filed.
- Assist with maintaining current event booking information and records.
- Assist with updating menus on websites and menu boards.
- Assist with printing food and beverage menus and other event-related materials.
- Complete other administrative and ad hoc duties as required.
