The Opportunity
Veolia is seeking an Invoicing Administrator - Refractories to join our Industrials and Energy team based in Henderson, Western Australia. This role provides essential support to the Refractories Administration, Finance and Operations Team, with primary responsibility for billing major and minor projects and all related accounts functions.
This is an excellent opportunity for a detail-oriented professional with strong administrative and accounts experience to contribute to a dynamic team in a critical support role.

What you'll be responsible for
Business Administration
General office admin duties
Maintain Refractories registers
Coordinate with admin and finance team in all states
Create and maintain effective relationships with external stakeholders
Ensure compliance to Veolia's Internal control and audit policies
Meet deadlines and liaise with internal and external stakeholders
Operations Administration
Coordinate with site supervisors & managers
Follow up timesheets and PO's with operations team
Asset coordination as required
Accounts Administration
Maintaning billing folders
Billing of Major & Minor Projects
Reconciliation of labour, plant, materials and third party invoices
Understanding of customer contracts, rates and requirements
Following up on outstanding items in relation to billing
Liaising with customer representatives for Purchase Order changes and billing approvals
What you'll need to be successful
Mandatory Requirements
Tertiary study aligned with the position description
Understanding of EBA's and Contracts in respect to billing and payroll
Experience in using and navigating various software platforms
Intermediate to Advanced Excel or Google Sheets knowledge
Excellent interpersonal skills
Desirable
Previous experience with SAP or other ERP systems
Experience in a project or accounts officer role

Highly customer-service focused and team orientated
Excellent time management skills and ability to plan ahead
This role may require some travel to on-site Projects both intrastate and interstate (optional)
