About the role
We have an exciting opportunity for a patent assistant to join our dynamic chemistry team on a full-time basis in our Melbourne office.
Key Responsibilities:
- Processing and responding to client and general email correspondence, assessing for urgency and importance, allocating work where appropriate, and saving into our electronic filing system
- Monitoring daily deadlines and the weekly critical list efficiently
- Managing calls and enquiries from clients and IP organisations.
- Diary/calendar management as required
- Assistance with booking operator travel and accommodation
- Drafting patent correspondence, preparing and filing new patent applications and opposition documents
- Preparing and submitting Patent office application forms, precedents online and using e-PCT systems
- Preparing prior-art information disclosure statements for local clients for overseas patent applications
- Preparing patent schedules for clients using Inprotech and relevant Patent office websites (e.g. EPO Register and USPTO PAIR)
- Meeting time recordal requirements
- Processing invoices and Internet and database searching for case and client details (eg IP Australia, IPONZ, WIPO, ESpacenet, USPTO)
- Miscellaneous administrative duties as required including support to others
About You:
- Experience as a Legal or IP Assistant is required for this role
- Enjoys being part of a team and building good working relationships
- Accurate typing, dictation, transcription using Microsoft products (Word, Outlook, PowerPoint and Excel)
- Invoice processing and posting experience
- Knowledge of the patenting process, timeframes and documentary requirements
- Excellent English communication skills, written and verbal
- Knowledge/ability to use specialised software packages. Experience with Inprotech and iManage is an advantage.
- Brings a detailed working knowledge of WIPO and patent office procedures
- Works co-operatively and demonstrates own initiative to assist others in need of assistance
- Demonstrates a strong client service focus supporting the commercial practices of the company
- Enjoys learning on the job and by attending internal training
- Demonstrates a pro-active, positive and flexible attitude at work
