- Provide support to Facilities Maintenance team to manage all administration, processing and reporting associated with all maintenance expenditure;
- Provide support to Facilities Maintenance team to manage administration associated with all maintenance contracts
- Support the Head of Facilities and Asset Management with timely financial reporting;
- Support the Head of Facilities and Asset Management in the development and implementation of cost control strategies and systems;
- Maintain calendar and schedule of contractor meetings in line with contract requirements, including timely dissemination of reports, managing payments and dissemination of required performance reports;
- Provide administrative support to all contractor meetings, ensuring appropriate documentation and benchmarking of performance against contracted undertakings;
- Monitor and analyse Facilities budgets (apital and operational) to ensure financial targets are met;
- Develop proactive stakeholder relationships and work collaboratively to plan, conduct and execute facilities maintenance and asset management activities in line with AAL strategic plans and budgets.
- Represent the Facilities Maintenance team in all financial reporting meetings with wider AAL stakeholders.
- Provide support to contractor meetings, ensuring accurate and timely management and reporting of contracted expenditure;
- Provide support to FM Team Leaders with accurate budgeting and management of workflows;
- Work closely with the relevant stakeholders to promote and deliver Procurement activities aligned with AAL strategy.
- Support processing, management and close out of purchase orders and invoices;
- Embed Customer Service in attitudes and actions;
- Contribute to a safe, healthy and discrimination free workplace;
