Position based in North West Melbourne
Here's a snapshot of your day:
Acting as document controller for critical records, ensuring documentation is created, reviewed, approved, versioned, and archived in line with Good Manufacturing Practice and data integrity requirements.
Reviewing and quality-checking SOPs, work instructions, change controls, and completed records for accuracy, completeness, and compliance before release, escalating discrepancies as required.
Being the first point of contact for raising and managing reactive and preventive work orders within a regulated environment.
Processing calls and email and monitoring complaints and escalations.
Raising purchase and service orders and processing invoices.
Serving as system champion across the CMMS, document management, and finance systems, maintaining controlled-document workflows and audit trails.
Monitoring spend on the account and reviewing account revenue and margin streams, drawing on a finance background to interpret and reconcile commercial data.
Managing vendors by tracking and monitoring vendor works, coordinating activity, and ensuring vendor documentation meets standards.
Preparing customer reports and dashboards, including compliance and document-status metrics.
Ensuring QHSE and GMP documentation is well maintained on CBRE systems and inspection-ready for client and regulatory audits.
Skills and experience you'll need to thrive in this role:
Higher educational qualifications or a degree, ideally with a finance or commercial foundation.
Demonstrated experience in document control and document review within a life sciences, pharmaceutical, or other regulated environment, with sound knowledge of data integrity principles.
Excellent PC-based skills, with intermediate to advanced experience in Word, Excel, and Outlook, alongside familiarity with electronic document management systems.
At least two years' experience in a similar role; experience in finance and administration is preferred and directly relevant to the commercial elements of this position.
Excellent verbal and written communication skills to liaise with clients and draft correspondence and controlled documentation to a high standard.
Excellent time management and organisational skills, with the ability to manage workflow and priorities and meet deadlines under regulatory scrutiny.
