We’re a well-established Darwin business with over 25 years in the aluminium windows, doors, and security screens industry. We’re looking for an organised, customer-focused Office Administrator to support our office operations, customer service, and trades team. - Minimum 2 years’ experience in office administration
- Comfortable with phone-based customer service and managing multiple enquiries at once
- Familiarity with Xero or similar accounting software
- Experience using ServiceM8 (or similar job management software) is a plus
- Strong attention to detail, particularly with quotes and invoicing
- Industry experience (trades, construction, glazing, aluminium) is desirable but not essential — full training provided
- Well-organised, reliable, and able to work independently
Key Responsibilities
- Answer incoming phone and email enquiries; respond to and follow up quote requests
- Schedule site measures, installations, and service appointments for the trades team
- Prepare customer quotes and invoices, and follow up on outstanding payments
- Process supplier purchase orders and reconcile supplier invoices
- Maintain accurate customer records, job files, and warranty documentation
- Perform basic bookkeeping tasks — expense entry, bank reconciliation, and liaising with the accountant/bookkeeper
- Track orders and follow up on stock/materials with suppliers
- Manage general office administration — filing, correspondence, and data entry into job management software
- Assist with compliance paperwork, including certificates of compliance and safety documentation
- Provide day-to-day administrative support to the business owner and trades team
Pay: $28.00 – $34.00 per hour
