Administrative Assistant – Health Centre
OVERALL PURPOSE OF THE POSITION
To provide high-quality administrative and reception support to the Health Centre, ensuring the efficient
operation of services, the effective management of student health information, and the delivery of wellbeing
initiatives that support the health, safety and wellbeing of students and staff.
PRIMARY DUTIES & RESPONSIBILITIES
Reception & Administration
- High Level computer skills using Excel / Word /Teams / Edsmart/ Veracross
- Manage reception area - Professional friendly approach to students and staff
- Answer / make phone calls, take messages as required
- Respond to emails accordingly, using initiative and common sense.
- Ability to utilise good communication skills and be a team player
- Generate reports as required e.g. class lists, anaphylaxis students.
- Minute taking – weekly HC meetings
- General Office Admin
- Place pharmacy and stationery orders as required.
- Fire warden
Excursions, Camps & Tours
- Manage and generate confidential medical information for excursions, camps and tours, ensuring
accurate and timely provision of student health information while adhering to privacy and
confidentiality requirements.
- Monitor a high volume of upcoming excursions, camps and tours, liaising with event coordinators
and teaching staff to ensure all medical documentation is completed and distributed as required.
- Coordinate the preparation, distribution, tracking and return of first aid kits and medical equipment
for excursions, camps and tours.
Student Wellbeing Programs
• Assist the Director of Health & Wellbeing with the planning and delivery of student wellbeing
initiatives and events.
- Support the annual wellbeing calendar through the coordination of venues, catering, maintenance
requests, seminar allocations, guest presenters and event logistics.
- Provide administrative support for wellbeing campaigns, presentations and educational programs as
required.
Immunisation Programs
- Coordinate the administration of NSW Health vaccination programs for Year 7 and Year 10 students
and annual influenza vaccination clinics.
- Liaise with NSW Health and other providers regarding clinic planning and delivery.
- Manage parent communications, consent processes, clinic logistics and venue bookings
- Support and supervise vaccination clinic operations to ensure efficient student flow and record
management.
