We take pride in bridging traditional culinary heritage with world-class Australian manufacturing practices. We are seeking a highly organized, proactive, and trilingual Office Manager to keep our factory administration running smoothly, compliantly, and efficiently.
The Role
As our Office Manager, you will be the administrative backbone of our operations. You will serve as the critical link between the factory floor, upper management, external suppliers, customers and Australian regulatory bodies.
This is a dynamic role requiring a blend of comprehensive customer service, e-commerce operations, logistics, financial administration, and robust food-industry compliance.
Key Responsibilities
- Customer Relationship & Online Orders: Serve as the primary point of contact for all customer accounts. Manage day-to-day inquiries, resolve issues, and process orders across all channels. This includes managing our direct-to-consumer or wholesale online platforms such as Shopify and Wix.
- Financial & Order Admin: Manage day-to-day bookkeeping, accounts payable/receivable, and data entry utilizing both Xero and MYOB systems. Ensure all customer invoicing is accurate, reconciled, and up to date.
- Multicultural HR & Payroll Support: Serve as the central linguistic bridge between management, office staff, and the factory floor. Assist with weekly payroll verification under the Food, Beverage and Tobacco Manufacturing Award, including tracking overtime and checking visa work rights via VEVO.
- Compliance & Audit Admin: Maintain and organize paperwork for HACCP / SQF certification. Manage local council permits, EPA requirements, and waste management documentation.
- Supply Chain & Logistics: Coordinate with refrigerated transport partners to ensure strict cold-chain logistics are met for outgoing shipments to customers.
- Workplace Health & Safety (WHS): Oversee safety registers, incident reporting, and organize mandatory staff safety inductions.
About You
To succeed in this environment, you must be a tech-savvy professional who excels at customer service, feels comfortable working in a fast-paced industrial food manufacturing setting, and possesses exceptional communication skills across multiple languages.
Required Criteria:
- Customer Service & System Management: Proven experience managing customer accounts, handling client inquiries, and managing online systems like Shopify and Wix for order processing and basic catalog updates.
- Trilingual Proficiency: Fluent in English, Cantonese, and Mandarin (both verbal and written) is essential to communicate effectively with our diverse production team, corporate clients, and local independent grocers.
- Software Skills: Proven hands-on experience using both Xero and MYOB for business accounting and reporting.
- Australian Compliance Knowledge: Demonstrated understanding of Australian Fair Work guidelines, superannuation, and local WHS regulations.
Desirable Criteria:
- Previous administrative or customer service experience within a food production, warehouse, or logistics environment.
- Familiarity with food industry quality management systems (HACCP or SQF).
Pay: $80,000.00 – $105,000.00 per year
