About the Role
We are seeking a highly organised and proactive Operations Coordinator to support our sourcing, logistics, and operational workflows. This role is ideal for someone who is fluent in Mandarin, understands manufacturing and sourcing in China, and can confidently manage shipping, supplier communication, and day-to-day administration.
You will be a critical link between our China-based suppliers, internal teams, and logistics partners, ensuring projects move smoothly from production through to delivery.
Key Responsibilities
China Sourcing & Supplier Coordination
- Communicate daily with China-based suppliers and manufacturers (Mandarin & English)
- Assist with sourcing products, obtaining quotes, and comparing supplier options
- Coordinate sampling, production timelines, and quality checks
- Support negotiations on pricing, MOQs, and lead times
Logistics & Shipping
- Coordinate shipments from China to Australia and other destinations
- Liaise with freight forwarders, customs brokers, and logistics partners
- Track shipments, manage ETAs, and resolve delays or issues
- Assist with import documentation, invoices, packing lists, and compliance paperwork
Operations & Administration
- Maintain accurate records of orders, suppliers, costs, and timelines
- Support internal teams with operational updates and reporting
- Manage general administrative tasks related to sourcing and logistics
- Ensure systems, files, and documentation are well organised and up to date
General Support
- Assist with ad-hoc operational tasks as required
- Support continuous improvement of processes and workflows
- Act as a reliable point of contact across multiple projects
Skills & Experience RequiredEssential
- Fluent in Mandarin and English (spoken and written)
- Understanding of sourcing and manufacturing in China
- Experience with shipping, freight, or logistics from China (preferred)
- Strong organisational and administrative skills
- High attention to detail and ability to manage multiple tasks
- Confident communicator with suppliers and internal stakeholders
- Proficient in basic office software (email, spreadsheets, documents)
Desirable
- Experience in operations, logistics, procurement, or supply chain roles
- Knowledge of customs, import processes, or international trade
- Experience working with creative, retail, or consumer product businesses
- Owning a car (advantageous, not mandatory)
