The purpose of the Project Officer (Technical) is to provide accurate and timely administration services to the Regional Delivery business unit.
Some of your responsibilities will include:
Coordinate administrative workflows that support the effective delivery of construction, maintenance, and safety programs, ensuring tasks, documents, and information move through the correct process steps, approvals, and systems in a timely manner.
Manage high-volume, high-accuracy data entry and updates in departmental systems, ensuring information is complete, compliant, traceable, and conforms to procedural and legislative requirements.
Facilitate compliance by ensuring required forms, checklists, evidence, and documentation are completed by the appropriate technical officers, and that all inputs are filed, indexed, and stored correctly for audit and reporting needs.
Coordinate the collation, formatting, and submission of project and administrative information, ensuring it is placed in the right system, in the right format, at the right time.
Support end-of-month reporting workflows by preparing required templates, obtaining inputs from project managers and inspectors, and ensuring the final information is accurate and submitted within mandated timeframes.
Coordinate procurement-related administrative activities such as raising purchase requests, completing documentation, monitoring approvals, and ensuring compliance with procurement processes.
Coordinate depot and facilities requests, vehicle administration tasks, WHS inspection documentation, access requirements, and general operational support activities for project delivery teams.
Manage document control activities, including setting up and maintaining filing structures, DMS containers, correspondence records, and contract-related documentation in line with procedural expectations.
Provide administrative support for routine governance requirements, including tracking mandatory training, leave balances, conflicts of interest, and communications responses.
Provide reliable administrative continuity to project and engineering teams by maintaining calendars, meeting support, agendas, minutes, and the coordination of documents, actions, and follow-ups.
