Territory Health and Support is seeking an organised and dependable Administration and Rostering Officer to support our disability services team. The role involves coordinating staff rosters, communicating with support workers, reviewing service documentation and helping maintain safe and compliant services for NDIS participants.
The successful applicant will work closely with participants, support workers and management to ensure staffing requirements are met and participants’ current support needs are communicated effectively.
Key Responsibilities
- Assist with preparing, maintaining and updating staff rosters.
- Receive staffing requests and create or adjust shifts accordingly.
- Arrange staff coverage for planned services, leave and unexpected absences.
- Liaise with support workers daily about participants’ current needs and changes to their support arrangements.
- Communicate roster changes clearly and promptly to relevant staff.
- Review staff shift notes for completeness, accuracy and appropriate reporting.
- Follow up on missing, incomplete or concerning shift documentation.
- Monitor staff compliance requirements, including qualifications, clearances and training.
- Maintain accurate and confidential participant and employee records.
- Conduct regular visits to supported accommodation houses.
- Monitor and report risks, hazards, incidents and maintenance concerns at the houses.
- Escalate participant wellbeing, safety or service-delivery concerns to management.
- Support compliance with NDIS requirements, organisational policies and workplace procedures.
- Complete general administrative duties as required.
Essential Requirements
Applicants must hold or be willing to obtain and maintain:
- A current NDIS Worker Screening Clearance.
- A current Working with Children Clearance (Ochre Card).
- A current First Aid certificate.
- A current CPR certificate.
- A satisfactory National Police Clearance.
- A current driver’s licence and access to reliable transport.
Applicants must also demonstrate:
- Strong organisational, time-management and problem-solving skills.
- Clear and professional written and verbal communication.
- The ability to coordinate multiple staffing requests and changing priorities.
- Strong attention to detail when reviewing records and compliance documents.
- The ability to communicate respectfully with participants, families, staff and other stakeholders.
- An understanding of privacy, confidentiality and professional boundaries.
- The ability to work independently and as part of a team.
- Competence using email, electronic rostering systems and standard office software.
Desirable Experience
- Previous experience in administration, rostering or workforce coordination.
- Experience in the disability, community services, health or aged-care sector.
- Knowledge of the NDIS Practice Standards and safeguarding requirements.
- Familiarity with the SCHADS Award.
- Experience reviewing shift notes, incident reports and employee compliance records.
