Details: Health and Community Services Directorate (HCSD) is seeking an experienced and proactive Executive Support Officer to join a high-performing team supporting the Chief Medical Officer (CMO) and key business areas within the Directorate.
Reporting to the Business Manager, you will play a critical role in ensuring the smooth operation of the Office of the Chief Medical Officer (OCMO), Clinical Systems Governance Unit (CSGU) and Office of Professional Leadership (OPL). Working in a dynamic and high-pressure environment, you will provide confidential and professional executive support, demonstrating exceptional organisational skills, sound judgement, discretion and attention to detail.
In this diverse role, you will manage the Chief Medical Officer's diary and correspondence, coordinate meetings and prepare meeting papers, organise travel arrangements, process invoices and undertake credit card reconciliations. You will also maintain records and filing systems within TRIM and Objective and contribute to the ongoing efficiency and effectiveness of office systems and processes.
You will work closely with internal stakeholders across the organisation, providing high-level administrative support to the OCMO, CSGU and OPL. This includes preparing papers, drafting minutes and correspondence, supporting recruitment activities and contributing to the delivery of business priorities. Success in this role requires the ability to manage competing deadlines, think laterally, remain adaptable and take a proactive approach to identifying and resolving issues.
