We are a small, friendly, family-owned business seeking a proactive and highly organised Facilities Coordinator to join our growing team. Working alongside two Facilities Coordinators, you’ll help manage two client portfolios, coordinating both reactive and programmed maintenance works across multiple sites.
In this hands-on role, you’ll be responsible for managing jobs through Aroflo, coordinating trades and contractors, following up on quotes and approvals, and ensuring all works are completed efficiently and to a high standard. This is a fast-paced position suited to someone who enjoys problem-solving, communication, and staying organised while managing multiple priorities.

About the Role
This is a hands-on coordination role supporting day-to-day facilities operations. You'll be responsible for managing maintenance jobs, liaising with contractors, and ensuring all works are completed efficiently and to a high standard.
Key Responsibilities:
- Create, schedule, and manage jobs in Aroflo (job management system)
- Coordinate trades and contractors across multiple sites
- Monitor job progress and ensure timely completion
- Liaise with clients, site contacts, and contractors
- Review and follow up on quotes, approvals, and works
- Ensure all job documentation (photos, reports, compliance docs) is completed
- Manage contractor performance and communication
- Maintain accurate records and system updates
About You:
- Strong organisational and time management skills
- Ability to manage multiple jobs and priorities
- Confident communicator with contractors and clients
- High attention to detail
- Experience using job management systems (Aroflo experience highly regarded)
- Essential requirement for job management systems experience
- Ability to work independently and take initiative
- Previous experience in facilities coordination or similar role preferred
- Minimum 3 years experience in facilities coordination or similar roles required
