We are seeking a professional and customer-focused Administration Support Officer to provide administrative and reception support within our Residential Aged Care facility at Clontarf. This position is primarily rostered to work Saturday's and Sunday's, with additional weekday shifts available to cover planned and unplanned staff absences, including annual leave, personal leave and RDOs.
Your Role
Working as part of a supportive administration team, you will be responsible for delivering efficient and professional administrative services while maintaining a welcoming and responsive front-of-house presence.
Key responsibilities include:
Managing reception operations and responding to telephone, email and face-to-face enquiries
Providing exceptional customer service to residents, families, visitors and external stakeholders
Coordinating incoming and outgoing correspondence, mail and documentation
Assisting with roster administration and staffing coordination
Maintaining accurate resident, staff and organisational records in accordance with legislative and organisational requirements
Preparing reports, correspondence and other administrative documentation
Supporting compliance, accreditation and quality management processes
Processing invoices, purchasing and other general administrative tasks as required
Providing information regarding Ozcare services and responding to enquiries in a professional and timely manner
Contributing to a positive and collaborative team environment

To be successful, you will have:
Availability to work Saturday and Sunday, with flexibility to provide weekday coverage for staff leave and roster requirements
Ability to adapt to changing rostering needs in a dynamic residential aged care environment
Previous experience in an administrative or reception role
Experience with rostering / scheduling and the availability to work a rotating roster
Strong customer service and interpersonal skills
Excellent written and verbal communication skills
Outstanding organisational and time management abilities
Strong attention to detail and accuracy in record keeping
A professional and courteous telephone manner
The ability to work autonomously and effectively prioritise competing tasks
Well-developed problem-solving and critical-thinking skills
A positive attitude and willingness to contribute to a team-focused environment
Experience within residential aged care or a healthcare setting will be highly regarded

Role Requirements
Current National Police Certificate valid within the past 3 years (or willingness to obtain)
Mandatory annual influenza vaccination + provide evidence you've previously received a minimum of 1-dose of the COVID-19 vaccination (or are willing to obtain it if successful).
Current Open Class Queensland Driver Licence
Equivalent experience in a similar or identical role (preferably 2-3 years prior experience)
Demonstrated proficiency in Microsoft Office Suite, including Word, Excel and Outlook
Ability to maintain confidentiality and manage sensitive information appropriately
