About the Role
We’re looking for an enthusiastic Office Coordinator to join our Brisbane team. This is a fantastic opportunity for someone who enjoys working with people, takes pride in their work and is ready to take on a varied role within a global corporate environment.
You’ll be the welcoming face of our Brisbane office, providing a professional and positive experience for our employees, visitors and external stakeholders, while helping keep the office organised and running smoothly.
The role combines front-of-house reception, office coordination, facilities and employee experience, so no two days will necessarily look the same. You’ll work closely with people across the business and have the opportunity to develop a broad range of skills while gaining exposure to a global organisation.
This is an office-based, front-facing role, working from the reception desk each day and acting as a key point of contact for our people and visitors.
About You
We’re looking for someone who is professional, personable and genuinely enjoys helping people. You might already have office administration or reception experience, or you could be looking to make your first move into a corporate environment. You'll bring:
- A warm, approachable and professional manner, with confidence interacting with people at all levels
- A genuine customer-service mindset and a passion for creating positive experiences for others
- Excellent communication skills and the confidence to be the first point of contact for employees and visitors
- Strong organisation skills and the ability to manage multiple tasks and priorities
- Good problem-solving skills and the ability to use initiative
- Confidence using Microsoft Office and a willingness to learn new systems and technology
- A high level of attention to detail and pride in maintaining a professional environment
- The ability to work independently while also being a collaborative member of the wider team
Previous administration, reception or office coordination experience is advantageous, but not essential. We’re more interested in finding the right person - someone professional, enthusiastic, adaptable and eager to learn.
Key Responsibilities
- Answer incoming phone calls and direct enquiries to the appropriate team members.
- Welcome visitors and new employees, ensuring a professional and positive front-of-house experience.
- Register visitors and manage temporary access passes while maintaining security protocols.
- Oversee office amenities and facilities, including kitchens, meeting rooms, reception areas, onsite parking, access cards, stationery supplies, couriers, and mail services.
- Coordinate boardroom and meeting room setup to support business activities.
- Respond to emails and general enquiries from clients, employees, and external stakeholders.
- Liaise with external suppliers and contractors to coordinate office maintenance and support services.
- Monitor and maintain high cleaning and presentation standards throughout the workplace.
- Manage storage room facilities and ensure supplies are organised and accessible.
- Communicate office updates, activities, and important information to both onsite and remote employees.
- Organise and support staff engagement initiatives, social events, and local social club activities.
