We are seeking an experienced Project Administrator to join our team on an 8-month fixed-term maternity leave contract, with the possibility of extension.
Based in our North Sydney office, this role will provide critical administrative and project support to a team working on a major Public-Private Partnership (PPP) development project within UGL's Utilities Operations & Maintenance business. Reporting to the O&M Bid Director, you will play a key role in coordinating administrative activities, maintaining project documentation, supporting reporting requirements, and ensuring the smooth day-to-day operation of a fast-paced project environment.
This opportunity would suit someone who has previous experience in a project, bid, engineering, construction, or infrastructure environment and enjoys working across multiple priorities while maintaining a high level of accuracy and attention to detail.
What you’ll be doing
Provide end-to-end project administration support, including raising purchase orders, processing invoices, maintaining records and supporting procurement activities.
Coordinate project and bid documentation, ensuring accurate document control, version management and timely submission of deliverables.
Support project governance activities by preparing gate papers, reports, meeting packs and stakeholder communications.
Assist with workforce administration, including onboarding, timesheet coordination and maintaining personnel records.
Track project milestones, reporting requirements and action items, helping ensure deadlines and project objectives are achieved.
About You
Previous experience in a Project Administrator, Project Coordinator, Bid Administrator or similar support role, ideally within an engineering, construction, utilities or infrastructure environment.
Strong SAP, Microsoft Excel and general administrative systems experience.
Exceptional organisational skills with the ability to manage multiple priorities and meet deadlines in a fast-paced environment.
High attention to detail with strong document control, reporting and administration capabilities.
Proactive, collaborative and confident communicator with the ability to build effective relationships across a range of stakeholders.
