Primary objective
Provide high-level, timely advice and executive and senior administrative support to the Directors of Clinical Branches within East Arnhem
Regional Leadership (EARL). This includes ensuring day-to-day administrative tasks are completed professionally, within specified
timeframes, and in accordance with relevant policies and procedures.
Key duties and responsibilities
1. Provide comprehensive administrative support to the Directors of Clinical Branches within EARL, including high-level secretarial
support; coordinating meetings, committees, and events/functions; managing communications and diaries; and maintaining efficient
administrative systems, record and databases.
2. Develop, coordinate and maintain effective systems and processes to appropriately assign workloads relating to the full variety of
administrative tasks required to support the Directors of Clinical Branches of EARL, and the office in general.
3. Manage and coordinate correspondence of a highly sensitive and confidential nature.
4. Coordinate and liaise with divisional staff to ensure timely responses are provided and initiate follow up action to ensure deadlines
are met.
5. Train, assist and support divisional administration support officers in streamlining executive correspondence, approvals and processes.
6. Manage a range of procurement functions such as purchasing, coding and processing credit card transactions.
7. Coordinate staff travel arrangements for Directors of Clinical Branches within EARL, and others as required.
8. Liaise in a discreet and confidential manner with a wide range of people including but not limited to, all levels of staff within the
agency, external stakeholders and the public.
9. Follow defined service quality standards, work health and safety policies and procedures relating to the work being undertaken in
order to ensure high quality, safe services and workplaces.
Selection criteria
Essential
1. Extensive knowledge and experience in providing administrative support services at a senior executive level.
2. Strong organisational and time management skills, including sound analytical skills and high level attention to detail to ensure integrity
of information and advice.
3. Ability to lead, direct and support staff, clearly communicating roles and responsibilities, expected behaviours and outputs, ensuring
the team delivers results and outcomes.
4. Proven interpersonal and communication skills, both oral and written and an ability to work in a discrete, confidential and polite
manner with key stakeholders at all levels.
5. Demonstrated ability to work effectively as part of a team and with minimal supervision in day-to-day operations to achieve outcomes
and excellent client service.
6. Proven ability to deal with difficult and challenging situations, including adapting and changing plans at short notice.
7. Sound knowledge and understanding of financial and human resource procedures including Finance and HR delegations.
Desirable
1. Three years minimum experience in providing executive level support in a Health or Government sector
2. Certificate III qualifications in business administration or equivalent.
