As an Administration Assistant for Victoria Mill, you will be the face of the mill, creating a welcoming first impression while keeping day-to-day operations running smoothly. This is a hands-on role where no two days are the same.
You’ll be responsible for coordinating accommodation and catering bookings, raising purchase orders for management, and keeping notice boards and site communications up to date. You’ll also handle monthly reconciliation of administrative expenses and play an important role in supporting contractors on site, helping manage PPE compliance and making sure everything runs safely and efficiently.
Working closely with contractors, site managers, employees, and admin teams across multiple sites, you’ll be a key point of contact and someone people rely on to stay organised and informed. There may also be opportunities to support other mills when needed.
This is a fixed term position within our Sugar Mill.
You’ll be joining a friendly and supportive team where everyone works well together. Based at reception, you’ll be the first point of contact on site, so strong communication skills and a welcoming, professional approach are essential.
Role Responsibilities:
- Provide administrative support including bookings, purchase orders, travel coordination, and office supplies
- Deliver a professional and welcoming reception experience as the first point of contact on site
- Coordinate contractors and visitors, ensuring compliance with PPE and site requirements
- Maintain accurate administrative processes, including expenses, mail, and site communications
- Organising local molasses sales
- Support a safe workplace by following procedures and assisting the wider team as needed
About you:
We are looking for someone who brings:
Essential
- Current driver’s licence
- Previous experience in an administrative or office support role
- Proficient in Microsoft Office applications
- Strong communication and customer service skills
- Ability to adapt to changing priorities and work environments
Desirable
- Experience in the sugar industry or similar industrial environment
- Certificate III in Business Administration
- Experience working with contractors or in a compliance-focused role
- Demonstrated commitment to learning and developing new skills
- Experience supporting multiple teams or sites in an administrative capacity
