Employment Type: Part-Time (4 Days per Week) Monday to Thursday
Hours: Monday to Thursday, 9:00 AM – 4:30 PM (28 hours per week)

Position Purpose
The Rostering Coordinator is responsible for the efficient scheduling and coordination of support workers to ensure the delivery of quality services to participants. This role involves managing staff rosters, coordinating shift coverage, responding to scheduling changes, maintaining compliance requirements, and supporting effective communication between participants, support workers, and management.
Key Responsibilities
Rostering & Scheduling
- Create and maintain accurate staff rosters to ensure participant supports are delivered as scheduled.
- Match support workers with participants based on skills, availability, preferences, and participant needs.
- Coordinate shift allocations, replacements, and emergency coverage.
- Manage roster changes due to leave, cancellations, incidents, or unforeseen circumstances.
- Ensure adequate staffing levels are maintained at all times.
Staff Coordination
- Liaise with support workers regarding availability, shifts, and roster updates.
- Monitor staff attendance and follow up on missed shifts or attendance concerns.
- Assist with onboarding new support workers into roster systems.
- Maintain records of staff availability, qualifications, and compliance requirements.
Participant Service Coordination
- Communicate with participants and their representatives regarding service schedules and changes.
- Respond promptly and professionally to participant requests and concerns relating to support services.
- Ensure continuity of support and minimise service disruptions.
Compliance & Administration
- Maintain accurate records within rostering and client management systems.
- Ensure staff assigned to shifts have current compliance documentation, including:
- NDIS Worker Screening Check
- Working with Children Check (where applicable)
- First Aid and CPR
- Driver's Licence and Vehicle Insurance
- Mandatory training requirements
- Assist with incident reporting and service documentation where required.
Reporting & Continuous Improvement
- Generate roster and service delivery reports as requested.
- Identify gaps in staffing and recommend recruitment needs.
- Contribute to improving rostering processes and operational efficiency.
- Support organisational quality and compliance initiatives.
Key Selection Criteria
Essential
- Previous experience in rostering, scheduling, workforce coordination, or administration.
- Excellent organisational and time management skills.
- Strong communication and interpersonal skills.
- Ability to work effectively under pressure and manage competing priorities.
- High level of attention to detail and accuracy.
- Proficiency in Microsoft Office Suite and rostering/client management systems.
- Ability to maintain confidentiality and handle sensitive information professionally.
- Understanding of person-centred service delivery principles.
Desirable
- Experience within the NDIS, disability, aged care, community services, or healthcare sectors.
- Knowledge of SCHADS Award and workforce scheduling practices.
- Experience using ShiftCare or similar rostering software.
