The Opportunity
We are seeking a Project Support Officer to join our Industrials & Energy WA team at our Asset Maintenance and Preservation facility in Henderson. Reporting to the Operations Manager, you will provide essential workforce mobilisation, compliance and project administration support to Supervisors and Operations, primarily across Defence projects and the broader Asset Maintenance and Preservation business

What you'll be responsible for
Provide workforce mobilisation, compliance and project administration support to Supervisors and Operations, primarily across Defence and then the broader business.
Coordinate inductions and site access with labour-hire providers, clients and stakeholders; verify worker details, tickets and competencies; submit packs and follow up approvals.
Track induction expiries and coordinate renewals and client approvals.
Complete new-starter paperwork and checklists and coordinate approved site inductions with the HSE team.
Maintain personnel compliance and competency records in HSEQ and training management systems, identify expiring records and coordinate updates.
Review HSEQ actions monthly, follow up close-outs and support month-end reporting.
Provide administrative support for recording approved Hazcards and events in the relevant HSEQ management system.
Prepare, compile, submit and track task close-out documentation through client portals.
Prepare mobilisation packs and coordinate rosters, medicals, training, travel and accommodation in consultation with Managers, clients and personnel.
What you'll need to be successful
Highly organised and detail-focused, with the ability to manage competing priorities and deadlines
Strong communication, stakeholder coordination and follow-up skills
Able to work effectively under pressure and take a proactive and accountable approach
Ability to obtain and maintain required Defence and client site access
Current National Police Clearance meeting client and Defence requirements
Relevant experience in workforce mobilisation, project administration, compliance coordination or a similar role
Experience using HSEQ and training management systems
Understanding of induction, licence, competency and training record requirements
Proficient in Microsoft Office and Google Sheets, including trackers and registers
Proficient in SharePoint and cloud-based document management systems
Previous Defence industry experience in a similar role
Previous exposure to maintenance projects, including preservation and fabrication activities
