Role purpose
This role provides administrative, governance and coordination support to a high-performing, industry-leading Event Marketing team responsible for delivering client engagement programs nationally.
You will work closely with a team of Event Managers to enable the successful delivery of events that drive customer advocacy and strengthen relationships with key business clients, ensuring all activity is delivered with strong process discipline, compliance, and consistency.
This role is embedded across event workflows to support risk management, approvals, communications, systems, reporting, and process execution.
Key responsibilities
Administration & coordination
- Provide day-to-day administrative support across a portfolio of event programs
- Support planning calendars across events, milestones, and key deliverables
- Coordinate inputs across Events Team and stakeholders to ensure compliance deliverables are met on time
Event systems & workflow management
- Manage event workflows across internal systems (e.g. Workfront, approvals, templates)
- Coordinate submission and tracking of approvals, ensuring alignment with Group processes
- Maintain event templates, support resources and documentation
- Support creation and distribution of event communications, including invitations and briefing materials
Governance, risk & compliance
- Support the event governance requirements, including approvals and documentation
- Coordinate Workplace Health & Safety (HSW) inputs, risk assessments, and mitigation tracking
- Ensure all activity meets internal compliance, legal, and policy requirements
- Maintain audit-ready documentation and records across event activity
Reporting, data & insights
- Prepare event reporting, including attendance, engagement, and performance outcomes
- Support analysis of event data and program results to identify insights and trends
- Contribute to evaluation of program effectiveness, including customer engagement and advocacy outcomes
- Support reporting frameworks to inform and optimise future event programs
Stakeholder support
- Act as a central coordination point to ensure information flows effectively across teams
- Support stakeholder communications, briefings, and engagement materials aligned to event objectives
Supplier & logistics coordination (non-owning)
- Provide coordination support across venues, agencies, and suppliers where required
- Assist with documentation, bookings, contracts, and logistics tracking
- Support onsite delivery for larger or complex events where required
What you’ll bring
Experience & capability
- Experience in administration, events, marketing, or operations-focused roles
- Strong organisational skills with the ability to manage multiple workstreams concurrently
- High attention to detail and ability to manage structured processes
- Strong solutions focused approach to roadblocks and raised issues
Systems & process orientation
- Comfortable working across systems, workflows, and structured documentation
- Experience supporting approvals, reporting, or compliance processes highly regarded
Stakeholder capability
- Strong communication and coordination skills across multiple stakeholders
- Ability to work confidently with internal teams and external partners

Success measures (first 6–12 months)
- All supported events are compliant, documented, and audit-ready
- Workflows (approvals, comms, reporting, systems) are completed accurately and on time
- Strong stakeholder feedback on coordination, reliability, and support
- High-quality reporting and clear insights generated to improve future programs
- Contribution to more consistent, efficient, and scalable event delivery processes
