About the Role We are seeking a motivated
Project Administrator (Site-Based) to support the successful delivery of our projects. Working closely with Project Managers and site teams, you will play a key role in coordinating project activities, maintaining documentation, and ensuring seamless communication across stakeholders.

Key Responsibilities
Project Administration
- Prepare and maintain project reports, documentation, and site records
- Coordinate meetings, take minutes, and track key actions
- Support project planning, scheduling, and resource coordination
- Manage travel and accommodation bookings for project teams
- Assist with invoicing, claims, and task tracking
Project Support & Coordination
- Provide day-to-day support to Project Managers and site teams
- Track project progress, deliverables, and timelines
- Liaise with internal teams, clients, and stakeholders
- Ensure effective communication and timely updates across projects
Financial & Risk Support
- Assist in tracking project budgets and costs
- Help identify risks and support mitigation activities
- Support finance teams with reporting and cost control
Tender & Business Support
- Assist in preparing tender submissions and proposals
- Support business development activities as required
Team & Site Support
- Provide general administrative support across project teams
- Maintain strong working relationships across stakeholders
- Support HSEQ requirements and site compliance activities
About You Essential
- Minimum 2+ years’ experience in a project admin or coordination role
- Experience with Pronto (or similar ERP systems)
- Proficiency in Microsoft Office & MS Project
- Strong communication and organisational skills
- Ability to manage multiple priorities and meet deadlines
Desirable
- Diploma in Project Management (or working towards)
- Certificate IV in WHS
- Experience in construction, infrastructure, or energy projects
Additional Requirements
- Willingness to work site-based and travel as required
- Ability to work flexible hours to meet project demands
- Comfortable working across both office and field environments
