What this opportunity involves:
As Administration Manager, you'll be the operational backbone of our Centre Management team in Tweed Heads, ensuring seamless financial and administrative operations across accounts receivable, accounts payable, and office management functions. This role places debt collection and financial reporting at the forefront, requiring you to maintain meticulous accuracy while managing the AR/AP lifecycle from invoice generation through to payment reconciliation.
You'll work collaboratively with the Centre Manager and broader property team to deliver exceptional service standards to both our client and retail tenants. Your expertise will directly support budget management, compliance tracking, and stakeholder communications, making you an essential contributor to the success of the centre.

An overview of the role:
Manage the full accounts receivable cycle including invoicing, debt recovery activities, and all associated reporting, ensuring debt remains within KPI parameters through proactive collection strategies
Oversee accounts payable processing and statement reconciliation, maintaining accurate cost code allocation against budgets and ensuring zero outstanding balances through diligent statement management
Coordinate monthly reporting across multiple systems including Acumen, verifying data accuracy and liaising with functional managers to compile comprehensive updates for client review
Maintain critical registers including PLI, bank guarantees, and contact databases, ensuring all records remain current and accessible at all times
Supervise lease administration processes to ensure timely and accurate data entry for new leases and lease modifications across relevant systems
Manage extended trade applications, percentage rent calculations, and related invoicing by collating and updating spreadsheets with precise data collection and follow-up
Process tenant recharges, maintain detailed backup documentation, and actively manage collections to minimize outstanding debt
Handle correspondence with retailers, record and respond to complaints via website and social media channels following JLL protocols, and draft responses for manager approval
Coordinate community room bookings, maintain lost property registers, process banking transactions, minute weekly team meetings, and respond to ad hoc client and stakeholder requests with accuracy and professionalism
Sounds like you? This is what we are looking for:
Minimum 5 years of property experience in a commercial, retail, or property management environment with demonstrated AR/AP processing and management expertise
Proven organizational skills with exceptional attention to detail and accuracy in financial data management and reporting
Excellent interpersonal, written, and oral communication skills with the ability to engage diplomatically with clients, tenants, contractors, and regulatory bodies
Strong ownership mentality with the ability to prioritize competing tasks while maintaining flexibility and a positive attitude amid shifting priorities
Proficiency in Microsoft Office suite (Teams, Excel, PowerPoint, Word, Outlook) with solid technical troubleshooting capabilities
Professional presentation and manner with exceptional customer service skills suited to representing JLL to diverse stakeholders
Ability to work collaboratively within small teams and contribute harmoniously to collective goals
Formal qualifications in Office Administration, Business Studies, or related field would be advantageous
Experience working with property management systems such as Acumen or similar platforms is highly regarded
