About the Role
We are seeking an organised, proactive, and detail-oriented Clinic Administration Officer to join our dedicated Animal Health team!
In this pivotal role, you will serve as the administrative backbone of our clinic. You will keep our operations running seamlessly—from building and managing staff rosters to handling finance admin and maintaining clinic documentation. Key Responsibilities

Rostering & Coordination: Manage and maintain operational rosters for Veterinarians, Veterinary Nurses, and Customer Care Officers. Address staff roster queries and resolve scheduling conflicts proactively.

Financial Administration: Process authorized supplier invoices accurately and promptly using a financial management system, in alignment with internal governance.

Clinic & Onboarding Operations: Coordinate onboarding logistics for new team members (induction kits, system access, locker assignments, and uniform ordering). Monitor and maintain front-of-house stationery and admin supplies.

Document Control & Efficiency: Maintain accurate document version control, secure storage, and distribution of clinical and admin files. Support clinic leadership in identifying administrative efficiencies.

Meeting & Communication Support: Prepare agendas, attend clinic meetings, record accurate minutes, and track follow-up action items.
What you will bring to this role

Administrative Experience: Strong background in general administration, rostering, or operational coordination (experience within a veterinary or healthcare setting is highly regarded but not required).

Technical Skills: High level of computer literacy, with experience using financial management systems and administrative tools.

Organizational Skills: Exceptional attention to detail, time management, and the ability to prioritise tasks in a dynamic environment.

Communication: Excellent interpersonal and written communication skills with a supportive, collaborative approach.
Highly regarded

Previous experience rostering teams to meet operational requirements, including the use of time and attendance software.

Understanding of veterinary clinics, hospitals and associated procedures
