Your Opportunity
As the TAFE at School Officer you will be responsible for:
providing administrative services to support the planning and delivery of TAFE at School programs and initiatives;
assisting in the promotion of TAFE at School programs across a range of channels, including attending events, expos and information sessions; and
increasing brand awareness and enhancing the image of TAFE Queensland SkillsTech, particularly as it relates to TAFE at School programs.
This position reports to the TAFE at School Manager.
This is a Temporary, Full-time opportunity, until 31 December 2026.
The position will be based primarily at Acacia Ridge however you may be required to perform work at other TAFE Queensland campuses.
Key Responsibilities
Contribute to the success of the organisation through promoting and modelling SkillsTech's core values and Agreed Behaviours and the established TAFE Queensland values of Working Together, Focussing on our Customer, Taking Responsibility, Showing Initiative, and Safety First.
Contribute to the administration and facilitation of TAFE at Schools programs, events and initiatives including:
assisting in the coordination of TAFE at Schools enrolments and nominations;
ensuring that program, event information and marketing material is accurate and current;
coordination of event logistics, event setup, delivery, breakdown and review;
scheduling of special events for TAFE at School students including liaison with Business Managers, educators and Educational Support staff;
participation in school visits (both at schools and on TAFE Queensland sites), community events, and promotional activities and marketing initiatives (e.g. attendance and presentation at Career Expos and other similar events);
dynamically presenting TAFE at School materials and information to small groups of students; and
ensuring compliance with relevant TAFE at School, regional and TAFE Queensland policies and procedures.
Provide administrative support associated with the planning and delivery of TAFE at School programs and initiatives and the day to day operations of the team, including but not limited to:
generation and preparation of assessment tracking documents, including interrogation of student study plans and academic histories;
accurate data entry of student results;
maintaining effective record management, tracking and filing systems;
undertaking purchasing activities and reconciliation of corporate cards for the TAFE at School team;
mail out of documents;
receiving and directing communications, correspondence and enquiries to relevant TAFE at School staff; and
undertaking general administrative and office management functions as required.
Maintain currency of knowledge and skills relevant to TAFE at Schools, including a sound understanding of TAFE Queensland programs, products and services and Queensland Certificate of Education (QCE) requirements.
Managing and monitoring School Based Apprenticeships and Traineeships (SAT) bookings, units, QCE points and communication with Client Liaison Officers and Schools.
Effectively utilise a range of software applications, databases, information systems and student management systems to support TAFE at School functions.
Assist with the development and preparation of reports and correspondence relevant to the business operations of the team; contributing to the monitoring of operational performance and enabling the provision of timely and accurate information to all stakeholders.
Provide exceptional client service and liaise proactively with internal and external stakeholders at all levels, including students and parents, providing advice and support relevant to TAFE at School programs and ensuring accurate information and documentation is obtained and/or provided in a timely manner.
Develop and maintain effective and collaborative relationships with TAFE Queensland employees, educational institutions, other Government departments and private organisations (including RTO's), and applicable regulatory bodies.
Contribute to continuous business improvement through supporting the development and implementation of internal quality system procedures, processes and documentation to build business efficiencies within the TAFE at School team.
Proactively participate in local Performance Planning and Development (PPD) processes, seeking opportunities for self-development and contributing to the development of the team through knowledge sharing and the provision of support, guidance and collaboration.
How you will be assessed
The ideal applicant will be someone who has the following key capabilities:
Sound knowledge, or the ability to rapidly acquire knowledge, of TAFE at School programs and services and Queensland Certificate of Education (QCE) requirements.
Demonstrated ability to develop rapport and maintain positive and collaborative working partnerships with a range of internal and external stakeholders.
Well developed written and verbal communication skills including the ability to prepare and dynamically present information to a variety of audiences.
Proficiency in the use of a range of computerised systems and applications relevant to student management and TAFE at Schools functions, including the ability to generate reports and correspondence.
Ability to both work autonomously and to effectively contribute to a high performing team, ensuring that all work is completed accurately and to a high standard within negotiated timeframes and proactively seeking and facilitating opportunities for self-development.
