Pearl Home Care Greater Parramatta is looking for an experienced and highly capable Executive Assistant / Personal Assistant to support our Managing Director and assist with the smooth running and continued growth of our business.
This is a varied and important role for someone who can anticipate what needs to be done, keep priorities moving, manage confidential information and make things happen.
You will work closely with the Managing Director, management team, clients, staff, healthcare professionals, suppliers and other stakeholders.
About the Role
As the Executive Assistant / Personal Assistant, you will provide high-level administrative, executive and operational support to the Managing Director.
You will help manage competing priorities, coordinate meetings and appointments, follow up actions, prepare documents and reports, and assist with business projects and day-to-day operational matters.

Key ResponsibilitiesExecutive Support
- Manage the Managing Director's calendar, appointments and meetings.
- Coordinate internal and external meetings and appointments.
- Prepare meeting agendas, minutes, action items and follow-ups.
- Monitor and prioritise emails and correspondence where required.
- Draft professional emails, letters, reports, presentations and business documents.
- Prepare briefing notes, information and documents for meetings.
- Follow up outstanding actions and ensure deadlines are met.
- Coordinate travel, events and other business arrangements as required.
- Maintain confidential executive and business information with a high level of discretion.
Business & Operational Support
- Assist the Managing Director with day-to-day business operations.
- Coordinate projects and ensure actions are followed through to completion.
- Liaise with internal teams and external stakeholders on behalf of the Managing Director.
- Assist with business planning, reporting and performance tracking.
- Prepare spreadsheets, reports and presentations using Microsoft Office.
- Assist with documentation, contracts, agreements and business records.
- Coordinate suppliers, contractors and external service providers.
- Assist with invoicing, expenses and other administrative tasks as required.
- Help identify opportunities to improve business systems and processes.
- Assist with quality, compliance and continuous improvement initiatives.
Client & Stakeholder Support
- Maintain professional relationships with clients, families and representatives.
- Assist with sensitive client matters and escalate issues appropriately.
- Coordinate communication between management, clients and service teams.
- Support the Managing Director with important client meetings and follow-ups.
- Liaise with healthcare professionals, referral partners and community organisations.
Communication & Team Support
- Act as a professional and trusted point of contact for the Managing Director.
- Support communication between management and team members.
- Help coordinate team meetings, events and internal communications.
- Assist with staff engagement initiatives and business activities.
- Maintain a positive, professional and solutions-focused approach at all times.
About You
We are looking for someone who is smart, organised, discreet, confident and proactive.
You don't wait to be told what to do. You see what needs to be done, take ownership and follow it through.
You will ideally have:
- Previous experience as an Executive Assistant, Personal Assistant, Business Administrator, Office Manager or similar role.
- Experience supporting a Managing Director, CEO, business owner or senior executive is highly desirable.
- Experience in healthcare, aged care, disability, community services or a professional services environment is advantageous.
- Excellent organisational and time-management skills.
- Exceptional attention to detail.
- Excellent written and verbal communication skills.
- Strong interpersonal skills and professional presentation.
- Ability to manage confidential and sensitive information.
- Strong problem-solving and decision-making skills.
- Ability to manage multiple priorities and deadlines.
- Excellent Microsoft Office skills, particularly Outlook, Word, Excel and PowerPoint.
- Confidence using CRM, document management and business systems.
- Ability to work independently and use initiative.
- A calm and professional approach when dealing with challenging or sensitive situations.
- A genuine "can-do" attitude and willingness to help wherever required.

Qualifications & Requirements
A qualification in Business Administration, Management, Health, Community Services or a related field is desirable but not essential.
You will be required to have, or be willing to obtain:
- Australian National Police Check
- Relevant employment screening checks
- Australian working rights
- Current driver's licence is desirable.

Pay: $35.00 – $60.00 per hour
Expected hours: 20.0 – 40.0 per week
