About the role and team
As Property Assets Coordinator, you will be responsible for the end-to-end management of all maintenance and services contracts across the Parliament of Victoria's leased electorate office portfolio. The role also manages all tenancy aspects of the Department of Parliamentary Services' main office.
This role works closely with a team of dedicated Property Managers and is vital in maintaining quality office accommodation to Members of Parliament and their staff to allow them to successfully perform their duties to Victorians.
Your responsibilities will include:
- Managing procurement processes for planned maintenance and compliance service contracts including preparation of tenders and evaluating submissions;
- Preparing contracts and negotiating contract departures to minimise risk and ensure safety and legislative requirements are captured;
- Managing and coordinating contractors to ensure services are delivered in line with contractual, safety and legislative requirements;
- Coordinating planned preventative maintenance, monitoring expenditure and reporting on service delivery across the electorate office portfolio;
- Managing tenancy matters for the Department's main office, including tenant obligations, landlord coordination, planned and reactive maintenance, and minor projects;
- Monitoring Essential Safety Measures compliance across electorate offices and the Department's main office; and
- Maintaining accurate servicing, asset, inventory and stock-audit records, including the DPS Asset Register.
You'll bring:
- Experience in procurement, including tender management, supplier negotiations and contract administration;
- Strong contract and asset management experience, preferably within a property or facilities management environment;
- The ability to communicate, negotiate, influence and build productive relationships with a wide range of internal and external stakeholders;
- Excellent administration, reporting, data analysis and problem-solving skills; and
- A customer-centric, organised and collaborative approach, with the ability to balance competing priorities and meet deadlines.
