CIP Construction is seeking a motivated and detail-oriented Contract Administrator to join our growing team in Melbourne This is an exciting opportunity to play a key role in delivering high-quality commercial and industrial projects across a dynamic project portfolio.
Reporting to the Project Manager and State Manager, you will contribute to the successful delivery of projects through effective contract administration, cost control, and stakeholder coordination.
About the Role
As a Contract Administrator, you will be responsible for managing contracts, supporting project delivery outcomes, and ensuring projects are completed on time, within budget, and to a high standard.
You will work closely with internal teams, subcontractors, consultants, and clients to ensure seamless project execution across all phases.
Key Responsibilities
- Prepare, issue, and review tender packages, including scopes of work and supporting documentation
- Assess subcontractor submissions, negotiate pricing, and manage subcontract agreements
- Administer head contracts and subcontract contracts, including variations, EOTs and claims
- Prepare and submit progress claims, variations, and cost reports
- Monitor project budgets, cash flow, and financial performance to ensure margin targets are achieved
- Maintain accurate project registers (RFIs, variations, EOTs, progress claims, etc.)
- Attend project meetings and coordinate communication between stakeholders
- Support the Project Manager with reporting, forecasting, and final account preparation
- Ensure compliance with contract conditions and relevant legislation (e.g. Security of Payment)
- Assist with project close-out, including as-builts, warranties, and final documentation
About You
- Degree or Diploma in Construction Management, Engineering, Building or Quantity Surveying (or currently studying)
- Minimum 2–3 years’ experience in a Contract Administrator or similar role within commercial or industrial construction
- Strong understanding of contract management, construction processes, and delivery methodologies
- Experience with project management systems (e.g. Procore, COINs or similar)
- Excellent communication and stakeholder management skills
- Strong financial acumen and ability to manage cost control and reporting
- Highly organised, detail-oriented, and able to manage competing priorities
