Casual HubSpot CRM & Marketing Specialist (Remote / Australia-Wide)
About Us: We are a growing business providing in home care.
The Role: We are seeking an experienced, tech-savvy HubSpot Marketer to work with us on a casual, fully remote basis. We have an older database in ActiveCampaign that has been dormant for some time, and we are looking to start fresh by migrating this data, setting up seamless processes for new contact information, and building our very first structured sales funnel.
This is a foundation role.
Your initial priorities will be to manage the clean migration of our historical data out of ActiveCampaign, establish a clear process for importing new incoming contacts, and architect a visual Sales Pipeline (Funnel).
Key Responsibilities:
- Data Migration & Integration: Safely export historical contacts from ActiveCampaign, clean the data, and map them into HubSpot's Company/Contact hierarchy.
- Process for New Leads: Establish a clean, repeatable process (via forms, imports, or workflows) for adding newly acquired contacts into the CRM without creating duplicates.
- Sales Funnel Architecture: Build and configure our very first HubSpot Sales Pipeline/Deal Stages.
- Newsletter Campaigns: Set up, design, and schedule regular newsletter campaigns directly inside HubSpot using segmented lists.
- Web Automation: Set up HubSpot tracking code on our website and build workflows to automate follow-up communications based on visitor scrolling/behavior.
About You:
- Proven hands-on experience setting up HubSpot Sales Hub & Marketing Hub from scratch.
- Strong background in database clean-ups, data migration, and mapping "flat" data into relational CRM structures.
- Experience building visual sales funnels, pipeline stages, and lead rotation rules.
- Highly disciplined, strategic, and comfortable working autonomously in a remote setup.

- How do you handle a scenario where multiple different contacts (with different emails) belong to the exact same organisation, and how do you ensure they all receive our marketing broadcasts without creating duplicate organisation profiles?
- Walk us through how you would set up an automated workflow to email a "known" contact who just spent more than 30 seconds scrolling on a specific service page on our website. What is the trigger and the action step?
- HubSpot's tracking code reads company IP addresses for anonymous web visitors. If an unknown visitor visits our site, what can we realistically automate, and what are the limitations regarding emailing them?
- When migrating data from a flat, list-based tool like ActiveCampaign into HubSpot’s Company/Contact relational database, what is your process for ensuring contacts are automatically mapped to the correct Surgery/Hospital without creating messy duplicates?
- We currently do not have a defined sales funnel in place for tracking our deals with surgeries. Based on your experience with B2B or medical sales, what are 4 or 5 standard "Deal Stages" you would recommend we set up in our HubSpot Sales Pipeline to track a lead from initial contact to a closed sale?
Pay: $35.00 – $40.00 per hour
