About the Role
We are seeking a dynamic, sales-focused Functions Manager to join our team in a full-time capacity.
This is not a passive, "order-taking" role. We are looking for an ambitious professional who will actively create demand, convert leads, build lasting community relationships, and maximize our excellent venue spaces.
You will take complete ownership of the full function journey—from initial enquiry, quoting, and proactive sales outreach through to detailed planning, internal team coordination, event delivery, and post-event follow-up.
Managing events across the Group, you will oversee birthdays, corporate events, wakes, sports presentations, fundraisers, community functions, weddings, and internal club promotions.
Key Responsibilities Include:
- Sales & Business Development: Actively grow function revenue by converting enquiries, following up on leads, and leveraging venue data (such as member milestones and seasonal opportunities) to generate repeat and new bookings.
- Enquiry Management & Quoting: Serve as the professional, responsive point of contact for all phone, email, and digital enquiries, ensuring clear communication regarding packages, deposits, and terms.
- Event Planning & Coordination: Prepare detailed run sheets and collaborate closely with kitchen, bar, floor, and management teams to guarantee seamless event execution.
- On-the-Floor Delivery: Ensure function spaces are impeccably presented, brief operational staff, and act as the key contact for clients during major or high-value events.
- Commercial Reporting: Track monthly revenues, enquiry pipelines, and conversion rates while assessing package profitability to optimize spend-per-head.
- Systems, AI & Innovation: Maintain accurate records using booking platforms (e.g., iVvy) and embrace approved AI and digital automation tools to streamline customer communication, automate follow-up reminders, and modernise reporting workflows.
- Marketing Collaboration: Partner with our marketing team to build fresh function packages, capture event content/testimonials, and capitalize on seasonal promotional windows.
What We Are Looking For:
- Proven experience in function coordination, event management, or a sales-driven hospitality role.
- An active, growth-oriented mindset with a track record of turning leads into confirmed sales.
- High-level organizational and administrative skills with the ability to manage multiple event timelines simultaneously.
- Strong communication and interpersonal skills, with the ability to liaise professionally with corporate clients, community groups, families, and internal departments.
- Tech-First Mindset: Comfort using event management software (like iVvy) and a strong enthusiasm for using modern digital tools, workflows, and AI to reduce manual admin and streamline responses.
- Flexibility to work hours that align with event bookings, including weekends or evenings when high-value functions require your presence.
