Role overview
The Clinic Support Outbound team plays a critical role in maintaining the efficiency and responsiveness of our busy mental health clinic through proactive communication and administration support. This role ensures referrals are actioned promptly, follow up tasks are completed, and client engagement remains consistent throughout the client journey.
The Outbound team supports clinicians, partnerships, and internal workflows through proactive administration processes that help ensure timely access to care and efficient clinic operations. This role requires an understanding of mental health presentations and a compassionate approach when supporting clients, families, clinicians, and service providers
Key Responsibilities

Deliver exceptional client service and act as the first point of contact for clients and referrals.

Manage referral intake, client bookings, appointment scheduling, and clinician allocation.

Support clients throughout their care journey with professional, empathetic communication.

Provide administrative support for clinical programs, including data entry, billing, reporting, Medicare processing, and payment follow-up.

Maintain accurate client records and referral information across clinical systems.

Manage clinician diaries, cancellations, waitlists, and rescheduling to optimise occupancy and service delivery.

Support daily clinic operations, including reception, scheduling, payments, meetings, and general administration.

Collaborate effectively with clinicians, team members, and external stakeholders across multiple locations.

Ensure compliance with privacy, confidentiality, safety, and organisational policies.

Contribute to a positive team culture through strong organisation, accountability, and attention to detail.
About you

Minimum 3+ years experience in a customer service or administration role

Strong verbal and written communication skills with a friendly, empathetic, and professional approach

Ability to work effectively in a fast-paced clinic environment while managing multiple tasks and competing priorities

High level of attention to detail and organisation
- Confidence in handling challenging conversations
- Strong administration and problem-solving skills
- Ability to work both independently and collaboratively within a team across locations

Willingness to learn, ask questions, and seek support when needed
- Experience using different computer systems – Microsoft 365, Word, Excel, Powerpoint, Teams, knowledge of Halaxy is an advantage

You will hold a current Working With Children Check and Police Check (or be willing to obtain both prior to commencement).
