The Executive Coordinator provides high-level executive, administrative and organisational support to the Principal. The role is central to supporting the effective operation of the Principal's office, including calendar management, meeting coordination, correspondence, briefing materials, presentations, follow-up actions and key school events.
The successful applicant will be highly organised, professional and able to work with discretion in a complex and fast-paced school environment. The role requires strong judgement, initiative, attention to detail and the ability to communicate confidently with staff, students, families, School Council members, Department representatives and external stakeholders.
In addition to executive support, the Executive Coordinator will support the development, coordination and implementation of key whole-school projects and initiatives on behalf of the Principal. This may include projects such as the Uniform Library, SWPBS reward systems, whole-school communication processes, staff recognition initiatives and other priority projects that contribute to the smooth operation and positive culture of the college.
This position requires a high level of confidentiality, professionalism and the ability to anticipate needs, solve problems and support the Principal to manage competing priorities effectively.
The responsibilities of this position may include, but are not limited to:
Executive Support to the Principal-
Provide high-level executive and administrative support to the Principal.

Manage the Principal's calendar, including meetings, appointments, briefings, school events and Department commitments.

Coordinate bookings, meeting logistics, rooming, invitations and relevant documentation.

Prepare daily schedules, briefing notes, agendas, meeting packs, supporting documentation

Draft, prepare and distribute correspondence on behalf of the Principal, including communication to staff, families, School Council members and external stakeholders.

Prepare presentations, speaking notes and supporting materials for assemblies, information sessions, graduations, formal events, staff briefings and other key college occasions.

Screen and respond to enquiries, phone calls and visitors with professionalism, discretion and sound judgement.

Monitor and follow up action items arising from meetings, leadership discussions and school priorities.

Maintain awareness of relevant Department timelines, policy updates and key communication requirements.
Meeting and Governance Coordination-
Coordinate meeting processes for the Principal and key leadership forums, including agenda preparation, documentation, minutes and follow-up actions.

Support the preparation and distribution of meeting papers for leadership, governance and whole-school meetings as required.

Coordinate School Council meeting processes, including agenda preparation, documentation, distribution of papers and follow-up actions.

Support School Council election processes and communication with School Council members.

Liaise with relevant staff to ensure items requiring Principal, leadership or School Council input are prepared and followed up in a timely manner.
Principal-led Projects and Whole-School Initiatives-
Coordinate and support the implementation of key projects identified by the Principal.

Lead and coordinate whole-school initiatives such as the Uniform Library, including planning, communication, processes, staffing support and ongoing improvements.

Support the coordination of SWPBS reward and recognition processes, including communication, promotion, purchasing and liaison with relevant staff.

Assist with the development of systems and processes that improve consistency, communication and efficiency across the college.

Coordinate project timelines, follow up key actions and provide regular updates to the Principal.

Liaise with staff, leadership, external providers and community stakeholders to support the successful delivery of projects.
Whole-School Communication and Administration-
Support the preparation of weekly announcements, staff updates, newsletter items and whole-school communication.

Assist with the preparation of key school documents, including reports, handbooks, plans, presentations and communication materials.

Provide practical support across school operations during peak periods or where additional assistance is required.

Act as a key point of contact for operational questions connected to Principal-led processes and projects.
Events, Bookings and Logistics-
Coordinate bookings, catering, resources and logistical arrangements for Principal-led meetings, briefings and school events.

Support planning and coordination for key events such as curriculum days, transition events, assemblies, information evenings and formal college occasions.

Liaise with internal staff and external providers to ensure events are well organised and communicated.

Prepare event documentation, schedules, run sheets, communication and supporting materials as required.
Professional and Team Contribution-
Work collaboratively with administration staff, leadership and other school teams to support effective school operations.
