Our Sydney operations are growing rapidly, and we're looking for an organised, customer-focused Delivery & Service Coordinator to own the final, most important part of the customer journey: getting refurbished vehicles handed over smoothly and leaving every customer delighted at pickup.
The Role
As a Delivery & Service Coordinator, you'll own the on-site handover experience and act as the central link between our workshop, CX team, registration (rego) process, and the customer. You'll make sure every vehicle is fully prepared, quality-checked, and ready to go, then personally guide the customer through a smooth, professional pickup.
This is a hands-on, accountability-driven role for someone who can juggle fast-paced workshop coordination with genuine customer care. You'll close the loop on every delivery: tracking it through our systems, doing the final external quality check, sitting with the customer at handover, and capturing the photos and reviews that show off the Cars24 experience.

What You'll Be Doing
- Delivery & customer handover (the core of the role)

Own and coordinate on-site vehicle handovers and deliveries, ensuring each customer has a smooth, professional, on-time pickup experience
- Sit with customers at handover to walk them through their vehicle, answer questions, and make them feel confident and excited about their purchase
- Conduct final external quality checks (QC) on every vehicle before it goes out, confirming it meets Cars24 presentation and quality standards
- Capture delivery photos and proactively collect customer reviews at the point of pickup
- Keep HubSpot tickets accurate and up to date, marking handover and delivery stages as they progress so nothing slips through the cracks
- Act as the central liaison between workshop, CX, rego, and the customer to ensure every handover runs without surprises
- Service & workshop coordination

Coordinate servicing and repairs for vehicles moving through our refurbishment centre
- Open and manage job cards and workshop service records
- Liaise with technicians and workshop leaders to track progress, priorities, and timelines
- Schedule servicing to keep vehicles flowing efficiently through the refurbishment pipeline
- Order parts and liaise with suppliers where required
- Maintain accurate records across internal systems and job-management platforms
What We’re Looking For

Previous experience in a delivery coordination, service advisor, vehicle handover, or automotive service coordination role
- Genuinely customer-facing: confident, warm, and empathetic when sitting with customers at handover, with a natural talent for creating a great final impression
- A sharp eye for detail and presentation, able to spot external quality issues during final QC before a vehicle reaches the customer
- Strong follow-through: someone who takes ownership of a delivery from start to finish and closes the loop every time
- Comfortable working across systems; experience with HubSpot or a similar CRM/ticketing tool (desirable)
- Strong organisation and time-management skills in a busy workshop environment
- Excellent communication and stakeholder coordination across multiple teams
- Strong problem-solving ability and a proactive, can-do approach
- Current Australian driver's licence
