We have a significant history of Australasian and global success and we are seeking additional support staff to assist with our ongoing success. This will be the first of a number of new appointments.
Position Brief
This is a unique and varied role that combines day-to-day office administration with proactive business research, making it ideal for someone who enjoys both organisation and investigation, including both Australasian and International client relationships.
While providing general office and executive support, you will also take ownership of identifying new project opportunities through online research and market intelligence. This includes monitoring industry announcements, procurement activity and other key information sources to identify emerging prospects and support future business growth.

Key Responsibilities
Administration & Office Support:
- Provide inbox management support for the Managing Director using Microsoft Outlook.
- Preparation of daily executive review file by way of reviewing, prioritising and organising incoming emails and supporting documents to optimise executive workflow and timely decision-making.
- Day to day correspondence management with the Managing Director, including preparing email responses from verbal dictation, ensuring grammatical accuracy and consistency with organisational communication standards.
- Maintain digital filing systems and ensure documents are organised, accessible and appropriately managed.
- Assist with preparing marketing and technical documentation to support business development and tender submissions, including product cut sheets, marketing collateral and project reference materials.
- Assist with general office and business operations tasks, including liaison with external service providers (IT, printers, property services, etc.) and preparing of parcels and coordination of courier requirements.
- Assist with scheduling and coordinating Microsoft Teams meetings with clients, suppliers and overseas partners.
Project Opportunity Research & Market Intelligence
- Conduct ongoing active research to identify new project opportunities using search engines, media articles, industry websites, government databases, procurement portals, public records, etc.
- Record and maintain information on potential opportunities for internal review, action and ongoing monitoring.
- Continue researching identified projects as further information becomes available, including tracking design development, procurement pathways and key project milestones.

The successful candidate will be someone who thrives in a small, close-knit team environment and demonstrates initiative, reliability and strong attention to detail.
Essential skills and experience include:
- Excellent verbal and written communication skills.
- Strong organisational skills with the ability to manage multiple priorities and meet deadlines.
- High level of computer literacy, with confidence navigating new systems and online portals.
- Strong proficiency with Microsoft Office applications, particularly: Microsoft Word and PowerPoint, including document formatting and presentation preparation, Microsoft Excel, including basic formulas, spreadsheet formatting, filtering and data management, and Adobe Acrobat, including reviewing and marking up PDF drawing files.
- Strong online research skills with the ability to locate, verify, consolidate and record information from a wide range of sources.
- Familiarity with Microsoft Teams, including scheduling meetings, screen sharing and troubleshooting basic technical issues.
- Experience within the construction supply chain industry is highly favourable.
