Primary objective
To supervise and manage an efficient and effective medical record management service that meets the needs of patients, staff and management
within Top End Health Service.
Context statement
Applicants must be prepared to work on the rotating shift work roster if required, work independently, make decisions based on proven protocols
in diverse situations, and use sound judgement to find solutions to issues as and when they arise.
Key duties and responsibilities
1. Responsible for the day-to-day management of the Medical Records team in Royal Darwin and Palmerston Regional Hospitals.
2. Develop and manage the shift worker rotational 24/7 roster, including re-allocation of work to cover leave.
3. Oversee the induction and training of new Shift Workers, Reception, Discharge Assembly Clerks and Outpatient Clerks.
4. Provide feedback to staff on their performance and approved procedures.
5. Develop and maintain operational work procedures for all positions in the Medical Record team.
6. Implement quality initiatives to improve service delivery.
7. Prepare lists of records for retrieval by shift workers on the weekend.
8. Follow defined service quality standards, work health and safety policies and procedures relating to the work being undertaken in to ensure
high quality, safe services and workplaces.
9. Foster a positive workplace culture through exemplary leadership practices and role modelling behaviour.
Selection criteria
Essential
1. Demonstrated practical experience in records management field with and understanding of policies, procedures and legislation that relate to
the management of patient records and medical records systems.
2. Proven ability to supervise, lead and motivate a team in order to meet identified objectives and the ability to exercise initiative and sound
judgement in solving day to day operational issues, including coordinating a 24/7 roster and staff education and training.
3. Demonstrated effective high level oral and written communications skills to enable communication with staff, clients and external users of
the medical records service.
4. Well-developed interpersonal skills to foster a positive workplace culture within the team.
5. Proven ability to handle and prioritise multiple tasks simultaneously, meet deadlines and flexibility to operate in an environment where
demands may change.
6. Demonstrated proficiency in interpreting medical terminology.
7. Proven computer skills within a Windows base environment using programs such as Microsoft, Excel, Acacia, Clinical Workstation or similar
IT systems.
8. Ability to interact effectively with people of diverse cultures and various levels within the organisation.
Desirable
1. Experience in the operation of patient management systems.
2. Knowledge of the organisational structure and functions of the Top End Hospital Service and Royal Darwin Hospital.
