Key Responsibilities
As part-time Conference & Events Coordinator, you’ll support the C&E Sales Manager to deliver exceptional guest and client experiences by managing corporate, wedding and social bookings with professionalism, accuracy and strong focus on planning and administration.
- Coordinate and manage event enquiries, bookings, and administration with accuracy and professionalism.
- Support the planning and delivery of conferences, weddings, private dining, and accommodation events
- Prepare event orders and function documentation to ensure accurate event delivery
- Liaise with clients throughout the planning process, responding to enquiries and providing timely updates
- Conduct site inspections for clients and suppliers to support event coordination and conversion.
- Monitor event timelines and ensure all operational departments are briefed on upcoming events
- Collaborate with internal teams to ensure seamless event execution and exceptional client experiences.
- Maintain accurate event information, client details, and sales activity within the iVvy system.
- Provide administrative support to the Conference & Events Sales Manager, including quotation preparation, contract administration, reporting, and database management
What You’ll Bring
- Previous experience in similar role ideally coming from Hotels or Event companies.
- Solid administrative and reactive sales experience, including preparing run sheets and quotes, managing correspondence, handling enquiries, and completing post event follow up.
- Proven ability to coordinate conferences, weddings, dinners, private dining and accommodation bookings with accuracy and adherence to SOPs.
- Strong communication and customer service skills, with experience handling calls, booking appointments, conducting site inspections, and supporting lead generation.
- Collaborative team player skilled in providing offsite and onsite event coordination, and supporting colleagues across departments
- Whilst this is primarily a weekday 9-5 role, we do require a candidate with occasional weekend availability to support with weddings and VIP clients
- Prior knowledge of Ivvy and Opera is desirable but training will be provided for the right candidate
