Office Manager – NDIS Services

We are seeking an experienced and highly organised Office Manager to support the daily operations of our NDIS services. This role is ideal for someone who thrives in a fast‑paced environment, can manage competing priorities, and understands the compliance requirements of the NDIS and SIL service delivery.
About the Role
The Office Manager is responsible for ensuring smooth operational coordination across the organisation. You will manage communication channels, support compliance activities, coordinate internal and external stakeholders, and provide high‑level administrative support to the leadership team.
This role plays a key part in maintaining quality, safeguarding, and service excellence for our SIL participants.
Key Responsibilities
- Email & Communication Management
- Oversee the organisation’s inboxes, triage enquiries, draft professional correspondence, and ensure timely responses.
- Meeting Coordination & Planning
Schedule and prepare agendas for team meetings, panel meetings, and stakeholder engagements. Facilitate minutes, action items, and follow‑up tasks.
Build and maintain strong relationships with participants, families, support coordinators, clinicians. Maintain participant files, update risk assessments, track behaviour support requirements, and support the operational team with day‑to‑day participant management tasks.Oversee office systems, documentation, registers, and compliance records to ensure audit‑readiness at all times.

- Incident Management
- Review, quality‑check, and submit incident reports
- Identify and escalate reportable incidents to the NDIS Commission
- Maintain the incident register and ensure compliance with reporting timeframes
- DCJ Monthly Reporting
- Panel Meeting Preparation & Facilitation
- SIL Participant Support Administration
- General Office Management
You will be successful in this role if you have:
- Experience in NDIS, SIL, disability services, or community services
- Strong understanding of NDIS Commission requirements, including incident management and reportable incidents
- Excellent written communication and professional email etiquette
- High attention to detail and strong organisational skills
- Ability to manage confidential information with discretion
- Confidence working with multiple stakeholders
- Proficiency in Microsoft Office (Outlook, Word, Excel)
- Ability to work autonomously and as part of a team
Pay: From $32.00 per hour
