About the role
We are seeking a detail-oriented and organised Administration Officer to join our team in Cairns on a full-time or part-time basis. This is a key position that will provide crucial administrative and organisational support to our commercial property department. Reporting to management, you will be the backbone of our office operations, ensuring smooth day-to-day functionality and supporting our team to deliver outstanding service to our clients. Based in our Cairns office, you will play an integral role in maintaining the efficiency and professionalism that defines Cairns Commercial Property.
What you'll be doing
- Managing and organising office scheduling, appointments and calendars for team members
- Maintaining accurate and comprehensive filing systems, both digital and physical, ensuring easy retrieval of documents
- Providing administrative support to property managers and senior staff members on a day-to-day basis
- Handling general correspondence, including emails, phone calls and written communications with clients and stakeholders
- Preparing and formatting documents, reports and presentations for internal and external use
- Coordinating meetings and preparing meeting materials, including agendas and minutes
- Managing office supplies and equipment, placing orders as needed and maintaining inventory
- Supporting the processing of applications, contracts and other administrative documentation related to commercial property
- Assisting with data entry and database maintenance to ensure accurate records
- Providing general reception and greeting duties to clients and visitors
What we're looking for
- Proven experience working as an Administration Officer or in a similar administrative support role
- Strong organisational and time management skills with the ability to prioritise multiple tasks effectively
- Excellent written and verbal communication skills with professional presentation
- Proficiency in Microsoft Office applications, including Word, Excel, Outlook and PowerPoint
- Demonstrated ability to maintain confidentiality and handle sensitive information with discretion
- Attention to detail and accuracy in all administrative tasks
- A professional, courteous manner with strong customer service skills
- Ability to work independently and as part of a team
- Experience in a property management, real estate or commercial environment would be advantageous
- Familiarity with property management software systems is desirable but not essential

Pay: $52,225.50 – $84,025.21 per year
